The Opportunity
\n
This is much more than a traditional Executive Assistant role. You will serve as the CEO's right hand, helping maximize their effectiveness while also supporting key operational initiatives across the business. You'll balance executive support, office operations, and strategic project coordination, acting as an extension of the CEO and helping keep the organization running smoothly.
\n
The ideal candidate is highly organized, anticipates needs before they arise, exercises impeccable judgment, and enjoys wearing multiple hats. You are comfortable interacting with executives, board members, investors, talent, and employees at every level while maintaining the highest level of professionalism and confidentiality.

Key Responsibilities
\n
Executive Support
\n

- Manage a highly complex and ever-changing calendar, prioritizing meetings and ensuring the CEO's time is optimized.
- Coordinate domestic and international travel, including detailed itineraries and logistics.
- Prepare meeting agendas, presentations, briefing materials, and executive communications.
- Manage expense reporting, invoices, and other administrative responsibilities.
- Screen communications and act as a trusted gatekeeper while maintaining strong relationships internally and externally.
- Coordinate Board of Directors meetings, leadership meetings, and executive offsites.
- Handle highly confidential information with discretion and professionalism.

Office Management & Operations
\n

- Oversee daily office operations and ensure an exceptional workplace experience.
- Manage office vendors, supplies, facilities, and service providers.
- Partner with HR, Finance, and IT to support onboarding, employee events, and workplace initiatives.
- Coordinate company meetings, all-hands, leadership retreats, and special events.
- Identify opportunities to improve office processes and operational efficiencies.

Chief of Staff / Strategic Projects

- Track key initiatives and ensure follow-through on executive priorities.
- Coordinate cross-functional projects and drive accountability across teams.
- Prepare reports, dashboards, and presentations for executive leadership.
- Help organize leadership meetings, document action items, and monitor progress.
- Serve as a trusted thought partner to the CEO on special projects and operational initiatives.
- Step in wherever needed to solve problems and keep priorities moving forward.

Qualifications
\n
- \n
- 7+ years of experience supporting C-level executives, preferably a CEO or Founder.
- Experience in entertainment, media, technology, creative industries, or other fast-paced, high-growth organizations.
- Previous experience managing office operations, workplace experience, or business operations.
- Exposure to Chief of Staff responsibilities or executive project management is strongly preferred.
- Exceptional organizational and time-management skills with the ability to manage multiple competing priorities.
- Outstanding written and verbal communication skills.
- Strong executive presence and ability to interact confidently with senior leaders, board members, investors, and external partners.
- Demonstrated ability to anticipate needs, solve problems proactively, and operate independently.
- High level of discretion and sound judgment when handling confidential information.
- Advanced proficiency with Google Workspace, Microsoft Office, Slack, Zoom, and project management tools such as Asana, Monday.com, or Notion.
