Best Pest Service, Inc. is seeking a dependable, organized, and professional Administrative Assistant to support our daily office operations. We are a well-established pest control company serving residential and commercial properties throughout the San Francisco Bay Area.

The ideal candidate will be detail-oriented, comfortable communicating with customers and property managers, and capable of managing multiple administrative responsibilities in a fast-paced environment.

Responsibilities

  • Answer and return telephone calls, emails, and customer inquiries.
  • Schedule inspections, treatments, follow-up visits, and recurring pest control services.
  • Coordinate property access with tenants, property managers, and service technicians.
  • Prepare and send proposals, contracts, inspection reports, service records, preparation sheets, disclosures, and other customer documents.
  • Create and process invoices, payments, account statements, and service records.
  • Follow up on outstanding invoices and assist with account reconciliation.
  • Maintain accurate customer, property, scheduling, and billing information.
  • Upload invoices and documents to customer and vendor payment portals.
  • Assist with certificates of insurance, vendor compliance requests, and account documentation.
  • Communicate scheduling changes and service requirements to customers and technicians.
  • Organize electronic and paper records.
  • Perform general administrative and office duties as needed.

Qualifications

  • Previous administrative or office experience is preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks and work independently.
  • Professional and courteous when communicating with customers.
  • Proficiency with email, Microsoft Word, spreadsheets, calendars, invoicing systems, and online vendor portals.
  • Ability to maintain confidential customer and company information.
  • Reliable attendance and punctuality are required.
  • Experience in pest control, property management, the service industry, or accounts receivable is helpful but not required.

Work Arrangement

This is an in-office position located in South San Francisco.

Schedule

Monday through Friday. The position will begin part time, with the possibility of becoming full time based on workload, performance, and demonstrated skills.

Specific working hours will be discussed during the interview.

Compensation

Compensation will be based on experience and qualifications.
