Job Summary
The Travel Concierge supports travel advisors and agency operations by coordinating travel arrangements, managing client communications, and handling administrative tasks. This role ensures a smooth booking process for clients and helps maintain high levels of customer satisfaction.
Key Responsibilities
- Assist travel advisors with booking flights, hotels, cruises, tours, and transportation.
- Communicate with clients via phone, email, and messaging to gather travel details and provide updates.
- Prepare travel itineraries, confirmations, and travel documents for clients.
- Research destinations, accommodations, activities, and travel requirements.
- Maintain accurate client records and booking information in the agency’s CRM and booking systems.
- Coordinate with airlines, hotels, and tour operators to confirm reservations and resolve issues.
- Monitor travel schedules and notify clients of changes or updates.
- Process payments, invoices, and basic accounting tasks related to bookings.
- Provide general administrative support such as scheduling appointments and managing calendars.
- Assist with marketing tasks such as social media posts, newsletters, or promotional campaigns.
Required Qualifications
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- 1+ year of administrative, customer service, or travel industry experience preferred.
- Strong communication and organizational skills.
- Ability to multitask and manage deadlines in a fast-paced environment.
- Basic knowledge of travel booking platforms or willingness to learn.
- Proficiency in Microsoft Office, Google Workspace, and email communication.
Preferred Skills
- Experience with arranging travel
- Familiarity with CRM
- Knowledge of geography and popular travel destinations
- Social media or marketing experience is a plus.
