Job Description

This onsite Receptionist role in Santa Clara, CA focuses on delivering an exceptional front desk experience while supporting daily office operations. You will serve as the primary point of contact for visitors and callers, manage guest check-ins, and coordinate meeting spaces to ensure a smooth and professional environment. This is a 3‑month assignment with potential for extension, working closely with a collaborative office and soft services team.

Responsibilities

  • Serve as the first point of contact for everyone entering the building and create a professional, welcoming atmosphere at the reception area.
  • Maintain a polished and friendly front desk presence that reflects the organization’s standards of service.
  • Answer, screen, and direct incoming calls promptly and accurately to the appropriate contacts or departments.
  • Greet and assist guests, clients, and visitors upon arrival, ensuring they feel informed and supported.
  • Provide clear directions or personally escort visitors to their meeting locations when needed.
  • Ensure all visitors are properly signed in, accounted for, and compliant with building access procedures.
  • Respond to inquiries in person, by phone, and via email with a helpful, courteous, and solution-oriented attitude.
  • Maintain a consistently high level of customer service to uphold and enhance the company’s professional image.
  • Assist visitors and temporary staff with badge creation and access setup in accordance with security guidelines.
  • Ensure security protocols are followed during visitor check-in and check-out, including accurate logging and badge return.
  • Manage bookings for conference and meeting rooms using the designated scheduling tools.
  • Coordinate meeting room setup to ensure spaces are prepared, clean, and equipped with necessary technology and materials before scheduled meetings.
  • Collaborate with team members in office and soft services to support overall facility operations and guest experience.
  • Perform general administrative and reception-related tasks as needed to support daily office functions.

Essential Skills

  • 1–2 years of experience in a receptionist, administrative support, customer service, or related role.
  • Strong customer service skills with the ability to interact professionally with guests, clients, and internal staff.
  • Excellent punctuality and reliability, with a consistent on-time presence for scheduled shifts.
  • Ability to work effectively as a team player within an office and soft services environment.
  • Good verbal and written communication skills, with a clear and professional communication style.
  • Professional appearance and demeanor appropriate for a front desk and client-facing role.
  • Proficiency with Microsoft 365 applications, including Word, Excel, and PowerPoint.
  • Experience using Outlook for email management and calendar scheduling.
  • Familiarity with Microsoft Teams for chat, meetings, and collaboration.
  • Competence with basic computer functions such as file management, printing, and internet browsing.
  • At least a high school diploma or GED.

Additional Skills & Qualifications

  • Experience in administrative support or office and soft services environments.
  • Comfort working in a fast-paced reception area with frequent visitor and call volume.
  • Strong organizational skills and attention to detail when managing visitor logs and meeting room bookings.
  • Ability to follow security and access control procedures accurately.
  • Confidence using virtual communication tools for coordination and potential virtual interviews.

Work Environment

This role is fully onsite in Santa Clara, CA, within an office and soft services environment. Standard hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. You will work at a staffed front desk as part of a supportive team, interacting regularly with employees, guests, and visitors. The position centers on front desk operations, visitor management, and meeting room coordination, using technologies such as Microsoft 365, Outlook, and Microsoft Teams, along with standard office equipment like computers, phones, and printers. The environment emphasizes professionalism, reliability, and high-quality customer service, and requires a professional appearance and attire appropriate for a client-facing reception area. This is a 3‑month assignment with the possibility of extension, and the selection process typically includes a phone screening and/or virtual interview.

This is a Contract position based out of Santa Clara, CA.

Pay and Benefits

The pay range for this position is $16.00 - $18.00/hr.
