Role Description This is a full-time, on-site Receptionist/Office Manager role based in Hermosa Beach, CA. The person in this role will serve as the first point of contact for visitors and callers, managing the front desk, greeting guests, and handling incoming calls in a professional and courteous manner. Daily responsibilities include coordinating mail and deliveries, maintaining office supplies, arranging meeting rooms, and ensuring that shared spaces are organized and presentable. The role also involves providing general administrative and clerical support, such as scheduling, filing, preparing basic correspondence, and assisting with office events or meetings. The Receptionist/Office Manager will collaborate closely with team members at all levels to support smooth office operations and a professional, welcoming environment.
Responsibilities
Front Desk & Guest Experience
- Greet and welcome investors, executives, clients, and visitors in a professional and courteous manner.
- Manage incoming phone calls, emails, and inquiries, directing them appropriately.
- Coordinate conference room scheduling and ensure meeting spaces are prepared and presentable.
- Arrange catering, refreshments, and hospitality services for meetings and events.
- Maintain a polished and professional reception area at all timesAdministrative Support
- Provide administrative support to investment professionals and firm leadership.
- Manage calendars, meeting logistics, and travel arrangements as needed.
- Assist with preparing presentations, reports, and meeting materials.
- Handle incoming and outgoing mail, packages, and courier services.
- Maintain office directories, contact lists, and filing systems.
- Office management to include organization and tidiness of office, maintenance of all data, filing, and supplies
Administrative Support
- Provide administrative support to investment professionals and firm leadership.
- Manage calendars, meeting logistics, and travel arrangements as needed.
- Assist with preparing presentations, reports, and meeting materials.
- Handle incoming and outgoing mail, packages, and courier services.
- Maintain office directories, contact lists, and filing systems
Office Operations
- Coordinate office supplies, equipment, and vendor relationships.
- Assist with onboarding logistics for new employees.
- Support planning and execution of firm events, investor meetings, and team gatherings.
- Monitor office maintenance needs
- Ensure confidentiality of sensitive business information and communications.
Investor & Executive Support
- Serve as a professional liaison between internal teams and external stakeholders.
- Coordinate logistics for investor meetings, board meetings, and executive visits.
- Assist with special projects and ad hoc administrative requests.
Qualifications
- 0-2 years of experience in a receptionist, executive assistant, office coordinator, or similar administrative role.
- Experience in a professional services, financial services, investment, legal, consulting, or corporate environment preferred.
- Exceptional verbal and written communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- High level of professionalism, discretion, and attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and video conferencing platforms.
- Ability to maintain confidentiality and handle sensitive information appropriately.
