Employment Type: Part-Time
General Schedule: 25 hours per week, typically Monday through Friday during after-school program hours
Pay Range: $24 per hour

Position Summary

The Assistant Site Coordinator works under the direction of the Site Coordinator to support the administrative, compliance, and programmatic operations of EduCare Foundation’s expanded learning program at an assigned school site.

This position helps maintain accurate program records, monitors attendance and registration requirements, supports program activities and events, communicates with program stakeholders, and leads engaging academic, enrichment, recreation, and youth-development activities.

The Assistant Site Coordinator mentors students and helps maintain a safe, caring, inclusive, and engaging environment that encourages creativity, expression, social-emotional learning, and student success.

This is generally a 25-hour-per-week position consisting of approximately:

  • 15 hours of administrative and compliance responsibilities
  • 10 hours of direct program leadership and student engagement

The distribution of hours may change depending on program and school-site needs.


Essential Duties and ResponsibilitiesAdministrative and Compliance Support

  • Assist the Site Coordinator with the daily administrative and operational needs of the expanded learning program.
  • Follow EduCare Foundation’s attendance procedures, including collecting, reviewing, and submitting program attendance records.
  • Enter attendance information into EduCare’s designated attendance-tracking systems within required deadlines.
  • Complete and submit attendance through the Beyond the Bell application when assigned to a Los Angeles Unified School District location.
  • Monitor student sign-in and sign-out procedures and help ensure that students are released only to authorized individuals.
  • Track and maintain student registration forms and other required enrollment documentation.
  • Maintain accurate, complete, and organized site compliance and administrative records.
  • Assist with monthly program calendars, activity schedules, staff assignments, and program transitions.
  • Support compliance with required staff-to-student ratios and student supervision requirements.
  • Assist with student recruitment and participation efforts to support the site’s enrollment and attendance goals.
  • Assist with organizing and facilitating program events, field trips, family-engagement activities, and special initiatives.
  • Coordinate and maintain required event and field-trip documentation.
  • Assist with student-interest surveys and other surveys involving students, families, employees, teachers, and school administrators.
  • Support Quality Standards and Continuous Quality Improvement feedback and assessment processes.
  • Participate in program observations, emergency drills, audits, and other monitoring activities.
  • Complete and submit incident reports and other required documentation accurately and promptly.
  • Follow applicable grant requirements and the policies outlined in EduCare’s After School Program Policies and Procedures Manual.
  • Follow all EduCare Foundation, school, district, and program safety requirements, policies, and procedures.
  • Communicate administrative, safety, student, staffing, or compliance concerns promptly to the Site Coordinator.

Program Leadership and Student Support

  • Plan and lead engaging, age-appropriate academic, enrichment, recreation, and youth-development activities.
  • Prepare and maintain written activity and lesson plans for assigned programs.
  • Actively engage with and supervise students participating in assigned activities.
  • Mentor students and encourage their academic, personal, and social-emotional development.
  • Create a safe, welcoming, inclusive, and culturally responsive program environment.
  • Promote student participation, creativity, confidence, leadership, and willingness to try new activities.
  • Modify activities based on student needs, student feedback, program observations, and direction from the Site Coordinator or program management.
  • Establish and reinforce appropriate student expectations and behavior-management practices.
  • Respond appropriately to student behavior concerns and elevate significant concerns to the Site Coordinator.
  • Maintain required student supervision during activities, transitions, events, and field trips.
  • Collect and document student attendance when leading assigned activities.
  • Monitor student sign-in and sign-out procedures and explain their importance to participating students.
  • Submit completed attendance records and other program documentation within established deadlines.

Communication and Collaboration

  • Build positive and professional relationships with students, families, employees, school personnel, district representatives, community partners, and external program observers.
  • Communicate program information clearly, respectfully, and professionally.
  • Work collaboratively with the Site Coordinator and program employees to meet site goals.
  • Help share operational information and provide appropriate guidance to frontline staff when directed by the Site Coordinator.
  • Participate in site meetings, organizational meetings, professional development, and required training.
  • Support the onboarding and orientation of newly assigned program employees when requested.
  • Represent EduCare Foundation professionally at the assigned school site and during meetings, events, training, and field trips.
  • Perform other related duties and projects as assigned.

Supervisory Responsibilities

This position does not have formal supervisory responsibilities. The Assistant Site Coordinator may provide day-to-day program guidance, operational support, or activity direction to employees when assigned by the Site Coordinator, but does not independently exercise formal hiring, discipline, or performance-management authority.


Additional Employment Requirements

  • Successfully complete the required Live Scan background-clearance process before beginning employment.
  • Provide required TB clearance dated within the period established by EduCare Foundation.
  • Obtain and maintain First Aid and CPR certification within 90 days of employment, unless an earlier deadline applies.
  • Complete all required organizational, school-district, safety, compliance, and professional-development training.
  • Be available to work the assigned after-school schedule.
  • Be available for occasional meetings, training, special events, field trips, evening assignments, or weekend activities.
  • Be willing and able to travel to school sites, meetings, training, and other locations throughout the Los Angeles area.
  • Understand that assignment to a particular school site is not guaranteed and that reassignment may occur based on staffing, funding, enrollment, or program needs.

Physical Requirements

While performing the essential duties of this position, the employee may be required to:

  • Stand, walk, sit, bend, reach, kneel, crouch, climb, and move throughout the school site.
  • Supervise and participate in indoor and outdoor student activities.
  • Remain standing or walking for extended periods.
  • Regularly lift or move items weighing up to 10 pounds.
  • Frequently lift or move program materials weighing up to 25 pounds.
  • Occasionally lift or move items weighing up to 50 pounds.
  • Communicate effectively in person and through electronic communication.

Work Environment

The position is primarily performed at a school site and may include classrooms, offices, gymnasiums, cafeterias, outdoor recreation areas, and other program locations. The employee may be exposed to changing weather conditions, moderate noise, active student environments, and frequent interruptions.

Requirements:Required Qualifications
Education

One of the following is required:

  • Associate degree from an accredited college or university; or
  • Completion of at least 12 semester units from an accredited college or university

A bachelor’s degree is preferred.


Experience

  • At least two years of experience working in youth-centered programs, expanded learning programs, educational programs, or community-based organizations.
  • At least two years of experience teaching, leading, mentoring, or supporting students from diverse cultural and linguistic backgrounds.
  • Previous experience working with middle- or high-school students.
  • Administrative or program-compliance experience is strongly preferred.

  • Knowledge of Microsoft Office programs, email, internet applications, databases, timekeeping systems, online training platforms, and attendance-tracking systems.
  • Ability to learn and use additional technology required by EduCare Foundation or the assigned school district.
  • High energy, dependability, professionalism, and a commitment to student success.

Preferred Qualifications

  • Bachelor’s degree in education, child development, recreation, social services, psychology, youth development, or a related field.
  • Experience working in an expanded learning or after-school program.
  • Experience with program attendance, compliance, registration, or grant documentation.
  • Experience supporting school-site operations.
  • Experience providing informal leadership, coaching, or program guidance.
  • Current First Aid and CPR certification.
  • Bilingual proficiency in English and Spanish or another language relevant to the school community.
