A successful and growing financial services firm in Pasadena is adding a sharp, organized Office Coordinator to its team. This is a newly created role, which means the right person will have a real opportunity to make an impact, build processes, and grow as the company continues to expand.
This is not a sit-at-the-front-desk-and-wait-for-tasks kind of role. The team is looking for someone who can help keep the office, leadership team, client communication, documents, and daily workflow organized and moving forward. You'll be trusted to jump in, follow through, solve problems, and become a key support person across the business.
The ideal person is professional, proactive, detail-oriented, and excited by the opportunity to grow into more responsibility over time. Responsibilities include:
- Assist with processing documents and organizing information
- Help enter and maintain information within internal systems
- Support workflow, scheduling, tracking, and follow-up on active projects
- Communicate with clients and internal team members to help keep information moving
- Provide administrative support to operations staff and leadership
- Manage general office needs including supplies, mail, organization, and vendor coordination
- Assist executives with administrative tasks as needed
- Potentially support basic accounts payable tasks
- Help create a smooth, organized, and professional office environment
Ideal background:
- Administrative, office coordination, project coordination, or operations support experience
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Comfortable communicating with clients, internal teams, and leadership
- Tech-savvy and comfortable learning new systems and tools
- Familiarity with Microsoft Office products and general business technology platforms
- Comfortable working within systems, tracking details, and managing multiple moving pieces
- Ability to prioritize, follow up, and keep workflow moving
- Positive, flexible, team-oriented attitude
