The Administrative Assistant/Receptionist plays a crucial role in supporting a large corporate office by managing front desk operations, coordinating schedules, and facilitating smooth communication across departments. This position requires regular interaction with various staff levels, utilizing software tools such as Google Workspace, proprietary office software, and Microsoft Office to ensure efficient office management without any travel obligations.
Responsibilities
- Manage reception duties including greeting and directing visitors
- Organize and maintain calendar appointments and meeting schedules
- Handle incoming phone calls and correspondence efficiently
- Coordinate visitor access and maintain security protocols
- File documents and maintain accurate records
- Perform data entry and ensure data accuracy
- Support meetings with preparation and follow-up tasks
- Maintain office supplies and reorder as needed
- Serve as a communication liaison between departments and external contacts
