Duties & ResponsibilitiesFront Desk Operations & Customer Care

Patient Reception: Warmly greet patients upon arrival, determine the nature of their visit, and promptly alert practitioners of their arrival to keep the clinic running on schedule.

Intake & Registration: Register new patients, assign internal patient IDs, collect complete demographic data, and scan required identification and insurance cards.

Payment Processing: Receive, record, and process co-payments and outstanding account balances following established cash-handling policies and procedures.

Communication Management: Screen, prioritize, and route incoming calls. Respond directly to general inquiries or escalate complex patient requests to a supervisor when appropriate.
Insurance Verification & Scheduling

Coverage Verification: Verify insurance eligibility and benefit levels for new and returning patients via telephone and web inquiries. Confirm if insurance plans are in-network.

Authorization Tracking: Coordinate pre-authorization components needed for physical therapy treatments and diagnostic testing, ensuring required documentation is secured prior to visits.

Appointment Logistics: Schedule and confirm patient appointments and follow-ups. Generate and distribute daily appointment summaries and manage pending appointment queues.

EHR Documentation: Ensure complete, accurate, and detailed notes of all patient contacts, authorizations, and verification details are entered into the practice management system.
Clinical Support & Compliance

Clinical Chaperoning: Serve as a medical chaperone during sensitive health exams or treatments, remaining physically present to support the provider and patient.

Room Coordination: Assist with basic treatment room preparation and clinical equipment setup between patient appointments.

Regulatory Compliance: Maintain a safe clinic environment in strict accordance with healthcare compliance standards, safety regulations, and HIPAA privacy rules.

Required QualificationsEducation & Experience

Education: High school diploma or equivalent.

Experience: Minimum of two (2) years of experience working within a healthcare environment.

Field of Expertise: Working knowledge of medical insurance terminology, insurance verification workflows, and HIPAA compliance standards.
