We are seeking a detail-oriented and motivated Human Resources Administrative Assistant to join our team on a 6-month contract, with the potential to extend. This role is ideal for recent graduates or early-career professionals looking to gain hands-on experience in a corporate HR environment.

You will play a key role in auditing and organizing employee records across multiple sites, ensuring compliance, accuracy, and the successful transition to a centralized digital filing system. This is a great opportunity to build foundational HR and administrative skills while working alongside an experienced HR team.


Key Responsibilities

  • Review and audit employee files across multiple locations to ensure completeness and accuracy
  • Partner with employees to collect missing documentation and obtain required signatures
  • Create and maintain employee records for those without existing files
  • Scan, digitize, and upload both paper and electronic files into a centralized database
  • Standardize documents to ensure consistency across all employee records
  • Organize and manage large volumes of data with accuracy and efficiency
  • Work independently to manage project timelines and deliverables with minimal supervision

Required Skills

  • Strong attention to detail and ability to manage high volumes of data accurately
  • Excellent communication and interpersonal skills (written and verbal)
  • Proficiency in data entry, recordkeeping, and administrative support
  • Ability to handle sensitive information with discretion and professionalism
  • Comfortable working in a fast-paced, professional office environment

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Human Resources, or a related field (preferred)
  • Open to recent graduates seeking to start a career in HR or business operations
  • Previous experience with file auditing or document management is a plus, but not required

Work Environment

  • Onsite role (Monday–Friday, 8:00 AM – 5:00 PM)
  • Collaborative, professional office setting working closely with the HR team
  • Involves managing records from multiple locations, including both paper and digital formats

Job Type & Location

This is a Contract position based out of Oceanside, CA.

Pay and Benefits

The pay range for this position is $25.00 - $29.00/hr.
