We are seeking an Assistant Service Writer to join our Lexus luxury automotive service team. You will be the first point of contact for guests seeking routine maintenance and post-sale vehicle prep. This role focuses primarily on processing factory-recommended 5,000-mile (5K) and 10,000-mile (10K) services. You will also manage "due bills" to ensure all post-sale vehicle commitments are fulfilled quickly. This is an entry-to-mid-level path toward becoming a full-Service Consultant in a luxury retail environment.
Requirements:
Guest Greeting:
· Welcome Lexus guests in the service drive, establishing a premium hospitality experience while capturing photos of their vehicles for documentation as well as for possible additional sales.
Routine Service Intake:
· Advise guests on standard Lexus 5K and 10K maintenance intervals, including oil changes, tire rotations, and fluid checks to keep them operating at Lexus recommended intervals.
Due Bill Management:
· Coordinate with the sales department as well as with dealership approved vendors to schedule, track, and complete promised post-sale vehicle accessories or repairs.
Repair Order Creation:
· Write clear, accurate repair orders in the dealership management system detailing guest requests, accurate mileage, etc.
Active Walk arounds:
· Inspect vehicles upon arrival for pre-existing damage, tire wear, alignment needs as well as additional detail needs.
Status Updates:
· Maintain constant communication with guests regarding vehicle status via phone, text, or email.
Delivery and Cashiering:
· Explain completed inspection reports, review invoices, process payments, and escort guests to their clean vehicles.
Skills/Certifications
Communication: Clear verbal articulation, active listening skills, and a professional, empathetic phone demeanor.
Tech Savviness: Proficiency with dealership Tekion system, Lexus Dealer Daily system, and multi-line phone systems.
Multitasking: Ability to type detailed notes accurately while actively speaking with a guest.
Automotive Knowledge: Basic understanding of routine vehicle maintenance (e.g., oil changes, brake service, tire rotations) is highly preferred.
Education: High school diploma or equivalent required.
