Location: Hybrid – Red Bluff, CA | Approximately 1–2 weeks per month in office

Salary: $65,000–$75,000 annually, commensurate with experience

Reports to: Director of Remote Sensing, Quanta Aviation Services

About the Role
\n
\n
Quanta Aviation Services (QAS) is seeking a highly organized and motivated UAS Administrative Assistant to support our growing UAS Operations team.
\n
\n
QAS UAS Operations delivers drone-based inspection, mapping, LiDAR, remote sensing, and aviation services to the utility industry across North America.
\n
\n
This is a hybrid role combining approximately 60% administrative and business support with 40% business development operations coordination. The ideal candidate is detail-oriented, comfortable managing multiple priorities, and able to operate effectively in a fast-paced and growing organization.
\n
\n
This position is particularly well suited for a strong administrative professional interested in expanding into business operations, project coordination, and business development support. Previous drone or UAS experience is not required, and direct business development experience is a plus but not necessary.
\n
\n
Key Responsibilities
\n
\n
Administrative & Business Support – Approximately 60%
\n
\n
* Support invoicing, cost accounting, expense tracking, and coordination with Quanta finance teams
\n
* Coordinate calendars, meetings, and schedules across UAS crews, leadership, clients, and internal stakeholders
\n
* Prepare meeting agendas, distribute pre-read materials, and coordinate meeting logistics
\n
* Route contracts and related documentation between clients, QAS General Counsel, and Quanta operating companies
\n
* Coordinate vendors, subcontractors, equipment providers, and other service partners
\n
* Maintain accurate CRM records, including contacts, opportunities, projects, and status updates
\n
* Prepare correspondence and administrative communications on behalf of project managers and leadership as needed
\n
* Assist with project documentation, reporting, and general operational coordination
\n
\n
Business Development Operations – Approximately 40%
\n
\n
* Coordinate RFP and opportunity intake, including logging opportunities, tracking requirements, and managing response deadlines
\n
* Support proposal development by coordinating inputs from business development leadership, subject matter experts, operations teams, and customer stakeholders
\n
* Maintain opportunity and proposal documentation throughout the pursuit lifecycle
\n
* Prepare weekly reporting on business development pipeline activity, opportunity movement, and key project milestones
\n
* Help ensure internal stakeholders remain aligned on deadlines, deliverables, and customer commitments
\n
\n
Required Qualifications
\n
\n
* 3+ years of administrative, accounting, project coordination, or similar professional experience
\n
* Demonstrated ability to manage multiple concurrent priorities while maintaining strong attention to detail
\n
* Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint
\n
* Experience working with CRM or comparable business-management systems
\n
* Excellent written and verbal communication skills
\n
* Strong organizational, documentation, and follow-through skills
\n
* Ability to exercise discretion when handling confidential business and personnel information
\n
* Ability to work in a hybrid environment with approximately 1–2 weeks per month in the Red Bluff, California office
\n
\n
Preferred Qualifications
\n
\n
* Experience supporting Director-level or senior leadership
\n
* Experience within a growing business unit or fast-paced operational environment
\n
* Utility, aviation, aerospace, engineering, construction, or infrastructure industry experience
\n
* Experience supporting RFPs, proposals, contracts, or procurement processes
\n
* Familiarity with platforms such as Coupa, SAP, Concur, Expensify, or similar financial and procurement systems
\n
\n

* Base salary: $65,000–$75,000, depending on experience
