Growing Investment & Operating Company | Orange County, CA
A growing investment and operating company is seeking an experienced Executive Assistant & Office Manager to support the CEO and executive leadership team while overseeing the day-to-day operations of the corporate office.
This is a highly visible, hands-on role for someone who is organized, proactive, polished, and comfortable managing multiple priorities in a fast-paced environment. The ideal candidate is a true utility player who enjoys variety, anticipates needs, solves problems, and takes ownership from start to finish.
Key Responsibilities
Executive Support
- Provide high-level administrative support to the CEO and executive leadership team
- Manage complex calendars, meetings, appointments, and scheduling
- Coordinate board meetings, conference calls, and executive meetings
- Prepare meeting materials, presentations, agendas, and follow-up items
- Serve as a key liaison with employees, investors, attorneys, accountants, bankers, and outside business partners
Travel & Logistics
- Coordinate domestic and international executive travel
- Arrange flights, hotels, transportation, reservations, and detailed itineraries
- Manage travel expenses, reimbursements, and last-minute changes
Office Management
- Oversee daily corporate office operations
- Manage office vendors, supplies, catering, maintenance, equipment, and services
- Coordinate office lunches, meetings, visitors, and conference rooms
- Maintain an organized, professional, and efficient office environment
Projects & Administration
- Manage special projects and time-sensitive executive requests
- Track deadlines, action items, and follow-up assignments
- Prepare reports, spreadsheets, presentations, correspondence, and business documents
- Maintain organized electronic files and assist with document execution
Company Communications & Events
- Assist with company announcements and LinkedIn content
- Coordinate company lunches, executive dinners, employee events, holiday parties, conferences, and off-site meetings
- Manage event logistics including venues, catering, invitations, transportation, and vendors
Recruiting & HR Support
- Coordinate interviews and candidate scheduling
- Assist with new hire paperwork, onboarding, and office orientation
- Support employee communications and general HR administration
Qualifications
- 5+ years of Executive Assistant, Senior Executive Assistant, Office Manager, or similar experience
- Experience directly supporting C-level executives
- Strong experience managing complex calendars and executive travel
- Exceptional organizational skills and attention to detail
- Excellent written and verbal communication skills
- Professional, polished, and highly discreet
- Strong judgment, problem-solving skills, and follow-through
- Ability to anticipate needs and work independently
- Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and Zoom
- Experience coordinating corporate events and managing office vendors
- LinkedIn or corporate social media experience is a plus
- Experience within private equity, investment firms, finance, manufacturing, or professional services is a plus
