As our Los Angeles business continues to take shape, we are looking for a highly capable Executive Business Assistant to work closely with the CEO/Founder. This is a high-trust, high-impact role for someone who can operate as a true force multiplier — supporting both business execution and business-aligned logistical coordination in a fast-moving entrepreneurial environment.

Key Responsibilities

1. Executive Business Support
\n

- Manage the CEO’s calendar, meetings, travel arrangements, priorities, and day-to-day scheduling with strong attention to detail.
- Coordinate across multiple time zones and ensure smooth communication between teams in China, the U.S., and external stakeholders.
- Prepare meeting agendas, take structured notes, track action items, and follow through to ensure full execution and closure of deliverables.
- Draft and organize bilingual business materials, including emails, briefing notes, presentations, summaries, and external formal communications.
- Serve as a reliable extension of the CEO by quickly grasping cross-border business context, proactively anticipating operational needs, and driving tangible business outcomes beyond basic message relay.

2. Business Coordination and Project Follow-up

- Support ongoing business initiatives related to U.S. market entry, brand building, partnership development, daily operations, and cross-border team alignment.
- Track project timelines, deliverables, responsible owners, and key milestones to maintain aligned business priorities.
- Conduct structured market research, competitor analysis, partner background due diligence, and information collation as assigned.
- Streamline communication across multicultural teams and reduce collaboration friction for cross-border projects.
- Provide lightweight parallel project management support to ensure consistent execution standards across multiple workstreams.

3. External Communication and Stakeholder Support

- Assist coordination and formal correspondence with overseas partners, vendors, marketing agencies, consultants, and key external contacts.
- Draft professional English business correspondence and provide full support for global stakeholder meetings, calls, and post-meeting follow-up.
- Accompany the CEO for business meetings, work trips, and key industry events as needed, providing end-to-end pre-event, on-site, and post-event logistical support.
- Maintain long-term professional stakeholder relationships with mature judgment and strict confidentiality.

4. Executive Logistics Support

- Provide streamlined logistical coordination to maximize the CEO’s work efficiency, including end-to-end travel planning, cross-regional appointment scheduling, and cross-border administrative arrangements. All assigned tasks are business-aligned; all sensitive internal and external information must be managed with strict confidentiality and professional discretion. Occasional local business transportation support may be required for on-site work visits.

Qualifications Required
\n

- Bachelor’s degree or above.
- Full bilingual proficiency in written and spoken English and Mandarin, confident independent professional communication in both languages for cross-border business.
- 3+ years of full-time experience as Executive Assistant, Business Assistant, Chief of Staff support, Founder/Founding team support, project coordinator, or strategy office specialist supporting C-suite executives.
- Exceptional organizational skills, consistent follow-through, and proven ability to manage shifting concurrent priorities in a fast-paced environment.
- Unwavering integrity, professional discretion, and consistent reliability handling confidential business information.
- On-site work requirement for Los Angeles/Irvine, CA; relocation support packages available for qualified out-of-state candidates; flexibility for domestic and international business travel as required by role.

Preferred Qualifications

- Direct experience supporting founders, CEOs, or senior entrepreneurs within scaling early-stage businesses.
- International study or work experience, or prior tenure within bilingual cross-border corporate teams.
- Industry exposure to consumer hardware, smart devices, wellness lifestyle brands, e-commerce, or U.S. market expansion projects.
- Experience delivering combined executive business support and aligned logistical coordination in a high-trust C-suite role.
- Advanced document creation, presentation drafting, and general cross-border business literacy.
