We are seeking a highly organized Project Coordinator to support project managers, field teams, and office operations. This is a dynamic role that combines construction project coordination with administrative and light accounting responsibilities. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and enjoys wearing multiple hats.

Experience in the construction industry is strongly preferred. Procurement experience is a plus.


Key Responsibilities

  • Coordinate daily project activities to ensure projects remain on schedule and organized.
  • Provide administrative support to Project Managers, Superintendents, and leadership.
  • Prepare and maintain project documentation, contracts, submittals, RFIs, change orders, and closeout documents.
  • Track project schedules, deadlines, and material deliveries.
  • Communicate with subcontractors, vendors, customers, and internal teams regarding project status and documentation.
  • Assist with purchase orders, vendor coordination, and material procurement.
  • Support accounting functions including invoice processing, coding, matching purchase orders, tracking project costs, and assisting with accounts payable and accounts receivable.
  • Maintain accurate project files and ensure all documentation is current and organized.
  • Assist with lien releases, insurance certificates, and compliance documentation.
  • Prepare reports, spreadsheets, and other project-related documentation as needed.
  • Provide general office support while helping improve internal processes and workflow.


Qualifications

  • 2+ years of experience in a construction project coordination, project administration, or construction office support role.
  • Strong organizational skills with exceptional attention to detail.
  • Experience supporting multiple projects simultaneously.
  • Familiarity with construction documentation and project lifecycle.
  • Working knowledge of basic accounting principles, including invoice processing and accounts payable.
  • Procurement or purchasing experience is highly desirable.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Experience with construction software such as Procore, Viewpoint Vista, Foundation, Sage, or similar ERP/project management systems is a plus.
  • Ability to prioritize workload and meet deadlines in a fast-paced environment.


Preferred Qualifications

  • Construction industry experience.
  • Procurement and vendor management experience.
  • Experience with purchase orders and material tracking.
  • Knowledge of lien waivers, certified payroll, or prevailing wage documentation is a plus.
  • Associate's or Bachelor's degree is preferred but not required with relevant experience.
