Under the supervision of the ERSEA Manager the ERSEA Technician is a member of the Family Service Team. This is a non-exempt position.
PRIMARY DUTIES/RESPONSIBILITIES:
Enrollment/Recruitment Support
1. Provides general and special project support for the ERSEA Manager and enrollment program areas.
2. Collects, Processes ERSEA related paperwork, Interviews those applying for services and verifies eligibility and completeness of applications for all NCS programs. Competes Eligibility Status and Income Ranking for each application.
3. Conducts application home visits and interviews as needed by program.
4. Serves as liaison to Teachers, Home Visitors, and families regarding enrollment.
5. Performs the Change of Status process; assists in the attempt to enroll process; and updates enrollment, wait lists, and transition information.
6. In cooperation with ERSEA Manager sends out enrollment paperwork to classrooms and home base programs to keep them fully enrolled.
7. Tracks initial enrollment file, family information (page 2s, program to program and returning packets), and missing paperwork follow- up for enrollment.
8. Inputs and maintains child and family demographics and enrollment data from miscellaneous program and ChildPlus forms.
9. Maintain uploaded attachments (scans) for the ERSEA department by processing and entering data and moving attachments to the appropriate module.
10. Creates, disassembles, and ensures proper and timely completion of child files.
11. Maintains enrollment and change of status information in child files.
12. Maintains past (inactive) child/family files and attendance records. Copies information from past records as instructed.
13. Assists in providing information concerning outreach, recruitment, enrollment, transportation, and/or attendance issues to the community.
14. Assists in developing and implementing recruitment activities, recruitment poster placement and follow-up.
15. Provides technical assistance in the areas of outreach, recruitment, enrollment and/or attendance as needed.
16. Interface with Community partners to provide QR codes or other needed Recruitment paperwork.
17. Prepares, distributes and tracks Attendance sign in sheets and tracking sheets for home base.
18. Collects and enters attendance information in Data Base for both Homebase and Center base.
General Program Support
1. Maintains computer files, revisions, ordering and inventory control of NCS forms.
2. Provides general and special project support to other program area Technicians as needed under the direction of director of Management Staff.
3. Attends local and out of town meetings and/or training as required by the needs and goals of the program.
4. Provide Interpreting and Translation support as needed for the program.
5. Performs other duties as assigned.
QUALIFICATIONS:
1. High school graduate or equivalent and four years office experience or 24 office-related units and two years office experience.
2. Two years of experience and demonstrated competency in computer office component software, such as MS Word, MS Excel or similar applications.
3. Experience in project management and training coordination and presentation.
4. Experience in communication and collaboration with community organizations and families in order to access services.
5. Ability to communicate effectively both verbally and in writing.
6. Self-motivated, open, flexible, and willing to work cooperatively with staff to ensure positive outcomes.
7. Ability to accept, reflect and act upon feedback. Facilitates and models respectful, professional communication and teamwork. Demonstrates a positive attitude. Promotes Head Start to children, families, co-workers and community.
8. Uphold confidentiality of staff, child, and family information in accordance with confidentiality policy.
9. Possession of:
• valid driver's license
• evidence of current automobile liability insurance
• good driving record.
10. Bilingual Spanish/English preferred
