The Executive Assistant plays a crucial role in supporting the Department Head by managing daily administrative operations and ensuring efficient communication and coordination across various projects and departments. This position handles a variety of responsibilities including calendar and travel management, meeting coordination, and acting as a liaison to facilitate smooth workflow and strategic initiatives. The role requires discretion, organizational skills, and proficiency in collaboration tools to support both routine and special projects.
Responsibilities
- Manage complex calendars and coordinate meetings
- Arrange occasional travel logistics and accommodations
- Oversee email correspondence and prepare key documents
- Generate reports and support administrative projects
- Serve as a communication liaison between departments
- Assist with event planning and cross-departmental programs
- Maintain confidentiality and manage expense tracking
- Prioritize tasks to efficiently support strategic initiatives
Preferred Qualifications
- 2+ years of experience in executive support
- Associate's or Bachelor's degree in Business Administration or related field
- Proficiency in Microsoft Office Suite and calendar management software
- Experience with travel coordination and event planning
- Effective communication and time management skills
- Strong confidentiality and organizational abilities
- Problem-solving, interpersonal skills, and multitasking capability
- Familiarity with project management software, Google Workspace, and communication platforms such as Slack and Teams
