Blue Mango Management is a restaurant management group that oversees and operates Novo Restaurant, Luna Red Restaurant, Robin's Restaurant, a forthcoming cafe, as well as a commissary kitchen. We are currently seeking a Human Resources Generalist and Office Manager to join our team! This is a full time, non-exempt position with a standard schedule of Monday through Friday, 9:00am to 5:00pm.

Summary of Position:
The HR Generalist & Novo Office Manager supports the day to day administration of Human Resources across all company locations while providing office management and administrative support for Novo. This role assists with the full employee lifecycle, including recruitment, onboarding, training, payroll, benefits, leave administration, employee relations, compliance, and HR systems. The position also supports Novo's daily administrative operations, helping ensure efficient office functions and providing administrative support to restaurant leadership.
This position serves as a resource for employees and managers, maintains accurate and confidential records, and helps ensure compliance with company policies and employment laws. The HR Generalist works closely with the Executive Team, managers, and employees to support a positive workplace culture and deliver consistent HR and administrative services across the organization.
The ideal candidate demonstrates the highest standards of ethics, integrity, professionalism, and discretion when handling confidential employee and business information. This individual is organized, solution oriented, and an effective communicator with strong problem solving skills, sound judgment, and the ability to prioritize competing responsibilities while maintaining the highest level of confidentiality.
Primary Duties and Responsibilities:
HR Administration & Compliance
- Support the implementation of HR initiatives across all locations
- Monitor employment law changes and assist with policy updates as needed
- Maintain labor law postings and break reminder signage at each location
- Maintain accurate employee records across HRIS, payroll, benefits, scheduling, and other HR systems
- Maintain personnel files and support internal compliance audits (I-9s, required postings) under direction
- Distribute and help draft employee communications, memos, policy reminders/changes/updates
- Prepare routine HR reports, including turnover, headcount, and training completion data
- Update and maintain the employee handbooks by incorporating revisions provided by employment counsel and approved by executive team
- Update and maintain Injury Illness Prevention Program and Workplace Violence Prevention Program
- Maintain workplace safety records, training documentation, and incident logs
- Promote a welcoming, inclusive, and respectful workplace for all employees through day to day HR practices
Employee Relations
- Serve as first point of contact for routine employee questions; route anything of concern, sensitive, or complex to DOO as appropriate
- Coordinate employee separations and terminations, including preparing documentation, final paperwork, and exit processes in partnership with the DOO and management
- Maintain accurate and confidential employee relations documentation
- Support managers with employee performance and disciplinary processes by coordinating documentation, tracking follow up actions, and escalating concerns as appropriate
- Coordinate employee recognition, appreciation, and milestone celebrations, including birthdays, anniversaries, and company events
Recruitment & Onboarding
- Coordinate recruitment activities from job posting, screening, interviewing, through onboarding
- Post and maintain job openings across recruitment platforms
- Screen candidates, coordinate interviews, and prepare offer paperwork
- Support managers throughout the hiring process to meet staffing needs
- Coordinate a smooth onboarding experience for new hires, including orientation, employee setup, and onboarding documentation
- Maintain applicant and new hire records and ensure onboarding documentation is complete
Training & Development Support
- Coordinate employee onboarding and required training programs
- Track required training completion and follow up on outstanding requirements
- Maintain training materials, resources, and learning management system (LMS) content
- Support the implementation of operational and job specific training programs
- Coordinate performance review scheduling and appraisal tracking
Payroll, Benefits & Compensation
- Process bi-weekly payroll and related payroll transactions
- Review and audit employee timecards, meal and rest breaks, tips, and payroll adjustments
- Administer employee benefits, healthcare eligibility, CalSavers, and PTO balances
- Coordinate leave administration, including FMLA, CFRA, PFL, and disability, and maintain related documentation
- Coordinate workers' compensation claims with employees, medical providers, and insurance carriers as needed.
- Respond to payroll inquiries and prepare agency correspondence, including wage verifications and responses to state agencies as needed
- Administer annual Open Enrollment
- Respond to routine employee benefits questions
- Assist with compensation benchmarking and reporting
Novo Office Administration
- Provide administrative support for Novo operations, including culinary, finance, marketing, and management teams
- Coordinate banking activities, cash administration, reimbursements, and other routine office functions
- Maintain office supplies, printed menus/materials, HR forms, and operational resources
- Communicate and count/ manage inventory and supply orders for the restaurants: office supplies, marketing collateral, smallwares, equipment parts, glassware, plates, and silverware across all locations, communicate needs to appropriate department
- Execute food + beverage menu change updates at Novo: design, edits, printing, page changeouts, POS updates, and third-party updates; provide marketing with information and files for websites, promotions
- Maintain recipe organization, update food product guides, server sheets, and other operational documentation
- Process donation and gift certificate requests
- Review discounts, voids, chargebacks, tip adjustments, and other administrative transactions; communicate discrepancies to appropriate leadership
- Track business licenses and permits (business, health, ABC, fire, CUPA, etc.) and health inspection calendar
- Serve as the administrative point of contact for guest incidents and general liability claims
- Troubleshoot POS, printer, computers, ipads, internet, software issues and communicate issues with our vendors
- Maintain employee merchandise and aprons and facilitate holiday gift ordering
- Maintain a clean, organized, and well stocked office environment
- Support additional administrative and operational projects as assigned
Required Skills/Abilities:
- Highly organized, detail oriented, and able to effectively manage multiple priorities in a fast paced environment
- Demonstrated integrity, professionalism, sound judgment, and exceptional discretion when handling confidential employee and business information
- Strong interpersonal, written, and verbal communication skills, with the ability to build positive working relationships at all levels of the organization
- Solution oriented with strong organizational, analytical, and problem solving skills; able to take initiative and work independently while knowing when to escalate matters appropriately
- Working knowledge of federal, state, and local employment laws and HR best practices, including wage and hour compliance, leave administration, and equal employment opportunity regulations
- Experience administering HRIS, payroll, benefits, applicant tracking, and other business systems with a high degree of accuracy
- Strong technical aptitude with experience navigating multiple web based systems, including HRIS, payroll, benefits, scheduling, POS, and financial platforms. Proficient in Microsoft Office, Google Workspace, and Adobe CC
- Demonstrated commitment to accuracy, organization, and follow-through with exceptional attention to detail
- Ability to maintain professionalism and provide excellent internal customer service while supporting employees and managers across multiple locations
- Must have a valid Driver's License and be in good standing with the DMV
Physical Requirements:
- Primarily performs work in an office environment while regularly moving throughout restaurant locations and traveling between locations as needed
- Ascend and descend stairs to access various restaurant locations
Education and Experience:
- Minimum three years of Human Resources experience, preferably in hospitality or restaurant operations
- Payroll processing experience is a must
- Valid Supervisory California Sexual Harassment Prevention certificate
- Valid California ServSafe certificate
