Operations & Administrative Assistant
We're looking for a highly organized, tech-savvy Operations & Administrative Assistant to help keep our regional insurance office running smoothly. This is much more than a traditional administrative role, you'll help coordinate projects, improve processes, support meetings and events, and ensure nothing falls through the cracks.
You should be someone who learns software quickly, enjoys working with spreadsheets and trackers, and isn't afraid to figure things out when you don't know the answer. If you're the type of person who notices something before anyone else does and takes care of it, you'll do well here.
What You'll Do
- Coordinate meetings, trainings, and events
- Create presentations and meeting materials
- Track projects, deadlines, and follow-ups
- Send emails and communications to agents
- Make outbound phone calls to agents and business partners
- Maintain spreadsheets and reporting trackers
- Help organize and improve office processes
- Assist with recruiting and onboarding activities
- Provide day-to-day administrative support
We're Looking For Someone Who:
- Is highly proficient with technology and enjoys finding better, faster ways to accomplish tasks
- Can quickly pick up new systems with minimal training
- Can take a goal or idea and independently determine the best way to execute it using technology, research, and sound judgment
- Is highly organized and keeps accurate trackers
- Thinks ahead instead of waiting to be told what to do
- Is resourceful and enjoys finding solutions
- Communicates professionally over email and phone
- Can manage multiple projects and priorities at once
- Has strong attention to detail without losing sight of the big picture
Preferred Qualifications
- Administrative or executive assistant experience
- Highly proficient with technology and able to quickly learn new software and systems
- Experience creating presentations and working with spreadsheets
- Insurance experience is a plus, but not required
Compensation & Benefits
- Starting pay: $22-$24/hour (depending on experience), plus incentives and bonuses
