What You’ll Do
As our Client Services & Legal Operations Coordinator, you’ll oversee many of the firm’s core administrative and case management functions, including:
· Serve as the primary case coordinator, ensuring matters move efficiently from intake through completion.
· Manage interoffice communication to make sure attorneys, paralegals and clients are all on the same page.
· Manage and maintain the firm’s CRM and practice management systems (Clio Grow and Clio Manage), ensuring accurate client information, workflow tracking, and task management.
· Coordinate client onboarding, scheduling, and ongoing communication throughout the representation.
· Prepare and process client billing and assist with accounts receivable.
· Notarize estate planning documents and coordinate document execution appointments.
· Prepare and record deeds with California county recorders.
· Maintain organized electronic client files and ensure documents are complete and accurately filed.
· Assemble and finalize estate planning documents for client signing.
· Support two attorneys by coordinating deadlines, calendars, and case workflow.
· Continuously improve administrative processes to help the firm operate efficiently and deliver exceptional client service.

Preferred Qualifications
· Experience working in a law firm or other professional services environment.
· Experience with Clio Manage, Clio Grow, or similar CRM/practice management software.
· California Notary Public (preferred).
· Experience preparing client invoices and billing.
· Experience recording deeds or other legal documents is a plus.
