POSITION: Assistant Property Manager
COMPENSATION: $25.00-$28.00 per hour DOE. Selected candidate may be required to live onsite in a 2-bedroom townhouse-style unit.

This position offers a 4% of annual salary sign-on bonus for new hires!
DESCRIPTION OF POSITION:
- The assistant manager is responsible for answering the phone, showing units, processing applications, processing recertifications, Yardi data entry, leasing to new residents, record keeping and serving of notices.
- The assistant manager will perform various other management duties as assigned by the Property Manager which may include tenant file maintenance, UCF file maintenance, tenant relations, answering inquiries by the public and residents processing maintenance requests and ensuring the excellent appearance of the building area.
- The assistant manager is expected to support the Property Manager within the performance guidelines set for the individual property. These include measurables such as recertifications, interviews, vacancy, make ready times, outstanding work/case management requests, delinquencies, etc. These are measured weekly.
PREREQUISITES:
- High School Diploma or equivalent
- Ability to relate well to the residents, staff, service providers, and vendors.
- Must be mature and responsible. Must be able to demonstrate good judgment.
- Must be flexible in attitude and work schedule.
- Must have good communication skills and telephone manner.
- Previous experience of a similar type is desirable.
- Demonstrate the ability to work alone and follow directions.
- Must have a stable background, indicate an ability to make decisions, accept training, and grow with the position.
- Must show ability to keep records, demonstrate supervisory qualities, and like people.
- Must be self-motivated, cooperative, personable, and emphatic to human needs.
RESPONSIBILITIES:
Administrative Duties, include, but are not limited to the following:
- Market vacancies and show apartments.
- Enforce rules and regulations
- Service residents' complaints and requests.
- Answer questions, give information regarding application and unit availability, answer the telephone, and take messages that are legible and complete in content.
- Daily inspections of grounds and vacant units.
- Process tenant applications (credit, landlord, income/asset and criminal background check) in accordance with tenant selection criteria and assist with the waiting list.
- Perform recertification interviews, send out verification forms, and prepare certifications.
- In the event of an emergency, respond to the appropriate service by calling 911 and then the Property Manager and / or Regional Supervisor. Observe the TV security monitors and report any suspicious activity
- Be available to Property Manager and tenants during regular business hours and be on call on some weekends.
- Set up and/or maintain tenant files in a manner consistent with management policy and HUD and CTCAC's programs' audit guidelines.
- Use the Property Management software (Yardi) system to post rents and other receivables, post payables, process applications and certifications, and update other information in Yardi and other Excel spreadsheets.
- Serve official notices and other communications to tenants.
- Assist the manager in preparing weekly reports, unit certifications, and other required reports as requested by the manager and CHDC.
- Perform unit inspections, follow up on maintenance and/or housekeeping issues, monitor and supervise unit turnovers.
- Prepare itemized Disposition of Security Deposit
- Perform other duties as requested by the Property Manager.
Supervise all personnel and contractors, as directed by the Property Manager and Regional Property Supervisor, to include enforcing job descriptions and preparing the following work schedules:
- Grounds maintenance
- Building maintenance
- Janitors
- Redecoration of units/Turnovers
Submit reports on time as follows:
- Input rents, deposit rents, input to Yardi
- Respond to audit reports as requested
- Other reports as required by the Property Manager, Director of Property Management and/or Regional Property Supervisor
PHYSICAL REQUIREMENTS:
- Driving or ability to travel between different locations in Santa Clara County.
- Computer use.
- Sitting at a desk for extended periods of time.
- The ability to lift/move/carry up to and including 50 pounds.
