Accounts Payable (AP) Specialist

Position Summary
nonprofit organization is seeking a detail-oriented and dependable Accounts Payable Specialist to join our Finance team in Carson, CA. The Accounts Payable Specialist is responsible for ensuring the timely and accurate processing of invoices, expense reports, and vendor payments while maintaining compliance with organizational policies and nonprofit accounting standards. This role requires strong organizational skills, accuracy, and the ability to work collaboratively in a mission-driven environment.
Essential Responsibilities
- Process high-volume vendor invoices accurately and efficiently.
- Review invoices, purchase orders, and supporting documentation for proper approvals and coding.
- Match invoices with purchase orders and receiving documentation.
- Prepare and process weekly check runs, ACH, and electronic payments.
- Maintain vendor files, including W-9s and payment information.
- Reconcile vendor statements and resolve payment discrepancies in a timely manner.
- Respond professionally to vendor inquiries regarding payment status.
- Assist with month-end and year-end closing activities, including AP accruals and account reconciliations.
- Ensure compliance with organizational policies, grant requirements, and nonprofit accounting practices.
- Assist with annual audits by preparing requested AP documentation.
- Monitor outstanding invoices and ensure payments are made according to established terms.
- Maintain accurate financial records and filing systems.
- Support the Finance Department with special projects and other accounting duties as assigned.
Required Qualifications
- Bachelor's Degree in Accounting, is required.
- Strong understanding of accounting principles and accounts payable processes.
- Experience using accounting or ERP software.
- Proficient in Microsoft Office, particularly Excel.
- Excellent attention to detail and organizational skills.
- Strong written and verbal communication skills.
- Ability to prioritize multiple tasks while meeting deadlines.
- High level of integrity and ability to maintain confidentiality.
Preferred Qualifications
- Experience working in a nonprofit organization.
- Knowledge of nonprofit accounting and grant-funded expenditures.
- Experience with Blackbaud Financial Edge, Sage Intacct, QuickBooks, or similar accounting software.
- Bilingual English/Spanish is a plus.
