Job Description
The Front Desk Receptionist plays a vital role in managing the first point of contact for visitors and callers within a large, dynamic front desk team of 8+ members. Reporting directly to the Office Manager and Reception Supervisor, this position is essential in ensuring smooth appointment scheduling, effective communication, and excellent customer service. The role features flexible scheduling and does not require travel.
Responsibilities
- Manage visitor check-in and visitor flow efficiently
- Handle inbound and outbound phone calls professionally
- Schedule appointments accurately and coordinate calendars
- Enter and update data maintaining accuracy and confidentiality
- Process incoming and outgoing mail promptly
- Resolve customer complaints with diplomacy and care
- Disseminate relevant information to visitors and team members
- Maintain records and files systematically
- Process payments and handle transactions securely
- Manage office supply inventory and reorder as needed
Preferred Qualifications
- 3+ years experience in receptinist roles
- High school diploma or equivalent
- Proficient in Microsoft Office applications
- Strong communication and interpersonal skills
- Ability to multitask and manage time effectively
- Problem-solving aptitude in fast-paced environments
- Data entry skills with attention to detail
- Ability to work collaboratively within a team
