We are seeking a friendly, organized, and professional Front Desk Receptionist to join our HOA management team.
As the first point of contact for homeowners, board members, vendors, and visitors, you will play an important role in providing excellent customer service and supporting the daily operations of our office. Responsibilities include answering and directing phone calls, assisting homeowners with general questions, preparing mailings and correspondence, receiving visitors, and completing various administrative tasks.
The ideal candidate has a positive attitude, excellent communication and computer skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced office environment.
Responsibilities
- Greet and assist homeowners, board members, vendors, and visitors
- Answer, screen, and direct incoming phone calls
- Respond to general homeowner questions and direct more complex matters to the appropriate team member
- Prepare, organize, and process outgoing mail and community correspondence
- Receive and distribute incoming mail, packages, and documents
- Assist with maintaining homeowner and association records
- Perform data entry, scanning, filing, and other administrative duties
- Help maintain a clean, organized, and welcoming front office
- Provide general support to community managers and other team members
- Complete additional administrative tasks as assigned
Qualifications
- Previous receptionist or front-office experience preferred
- Reliable and punctual, with strong time-management skills and the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills
- Strong customer-service skills and a professional demeanor
- Dependable, organized, and detail-oriented
- Positive attitude and strong work ethic
- Comfortable using computers, email, office software, and phone systems
- Ability to multitask and prioritize responsibilities
- Experience in HOA management, property management, or a related industry is helpful but not required
