Operations Specialist Position
Temp to Hire
Pay Range: $20-$22.50 per hour
Support maintenance, construction, and facilities operations through project coordination, administrative support, contractor management, and customer service.
We are seeking a highly organized Operations Specialist to provide administrative and operational support for the Maintenance and Construction Department. This position coordinates schedules, tracks contractor activities, processes work orders and invoices, maintains records, prepares reports, and supports departmental projects and meetings.
Key Responsibilities
- Coordinate schedules, meetings, inspections, and contractor activities.
- Process work orders and track project completion.
- Review, code, and prepare vendor and contractor invoices for approval.
- Maintain records related to inspections, permits, contractor work, and department operations.
- Prepare reports, correspondence, meeting agendas, and meeting minutes.
- Provide direct support to department leadership, including calendar management and project follow-up.
- Conduct community site visits and report property conditions.
- Respond to inquiries from residents, vendors, contractors, and public agencies.
- Assist with department meetings, safety meetings, and special projects.
Qualifications
- High school diploma or equivalent; business coursework preferred.
- Administrative, operations, facilities, maintenance, construction, or property management experience preferred.
- Strong organizational, communication, and multitasking skills.
- Proficiency with Microsoft Office and business software applications.
- Ability to prepare reports, maintain records, and manage multiple priorities.
- Typing speed of 55 WPM preferred.
- Valid California Driver's License required.
