Position Summary
The CSR – Logistics Specialist is the hands-on link between our customers, carriers, and warehouse operations. This role manages the full lifecycle of national and international freight bookings — from order entry through delivery confirmation — while serving as a primary point of contact for customer inquiries related to shipments, documentation, and order status. This is an execution-focused role: you'll be the one tracking the shipment, fixing the exception, and getting the paperwork right, not just coordinating who does it.
Key Responsibilities
- Process and manage national and international freight bookings from order entry through final delivery
- Track shipments in real time, proactively identify delays or exceptions, and resolve issues with carriers
- Prepare and review shipping documentation, including bills of lading, commercial invoices, packing slips, and customs paperwork for international shipments
- Coordinate with carriers and brokers on scheduling, arrival notices, and special handling requests
- Serve as the primary customer contact for order status, shipment inquiries, and resolution of delivery issues
- Maintain accurate records in the company's TMS/ERP systems, including tracking numbers, delivery confirmations, and freight invoices
- Partner with the warehouse and sales teams to ensure orders are picked, packed, and shipped on schedule
- Identify ways to streamline shipping process
- Perform other logistics and customer service duties as assigned
Requirements:
- High school diploma or equivalent required; associate's or bachelor's degree in logistics, supply chain, or business a plus
- 2+ years of experience in logistics or freight coordination in a wholesale, distribution, or manufacturing environment
- 2+ years of experience in customer service in a wholesale, distribution, or manufacturing environment
- 1 year of experience in a call center environment
- Working knowledge of shipping documentation (BOLs, packing slips, commercial invoices, customs paperwork), carrier systems, and freight terminology (e.g., FAK, CSP)
- Proficient with EDI order processing, TMS/TMA portals, and retail routing guide compliance is a plus
- Strong analytical and problem-solving skills, with the ability to identify and resolve shipping or inventory discrepancies
- -Excellent organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment
- Effective written and verbal communication skills, with the ability to support customer service functions as needed; bilingual English/Spanish a plus
- Proficient in basic computer systems, email, and order/transportation management software
- Ability to work collaboratively with cross-functional teams, including warehouse, customer service, sales, and accounting
- Comfortable working in a fast-paced, deadline-driven environment
Physical Requirements
This position requires the ability to sit for extended periods while working at a computer and using office equipment such as phones and scanners. The employee must be able to stand, walk, and move throughout the office and warehouse areas as needed, including time spent on the distribution center floor. Occasional lifting, carrying, or handling of materials up to approximately 30 pounds may be required, including shipping supplies or product samples. The role also requires sufficient manual dexterity, visual acuity, and auditory ability to perform essential job functions accurately and efficiently.
Work Environment
The work environment includes office-based logistics coordination and at times, in the warehouse/distribution center. The employee may be exposed to moderate to loud noise levels typical of a warehouse/distribution setting, including forklift and material handling equipment traffic. This is a fast-paced environment that requires frequent communication and collaboration with cross-functional teams, including warehouse, customer service, sales, and accounting. Standard business hours apply, with occasional extended hours or weekend work required during peak seasons or special operational needs.
