Job DescriptionWe are looking for an Administrative Assistant to join an agriculture-focused organization in Pasadena, California on a Contract basis. This onsite opportunity is well suited to someone who enjoys keeping documentation organized, supporting shipment-related coordination, and maintaining accuracy in a busy operational setting. The role combines administrative support with import documentation duties and requires strong follow-through, clear communication, and careful attention to detail.
Responsibilities:
• Manage import-related paperwork and monitor shipment activity to help keep daily operations on schedule.
• Update tracking logs, status reports, and internal records with accurate and timely information.
• Work closely with suppliers, transportation partners, and internal departments to share updates and resolve routine issues.
• Examine invoices, packing documentation, and shipping records to confirm completeness and accuracy.
• Perform data entry tasks, prepare basic reports, and organize digital and physical files for easy access.
• Provide administrative support for import operations, including document handling, coordination, and follow-up on outstanding items.
• Help maintain orderly office processes by prioritizing multiple assignments and meeting established deadlines.• At least 3 years of experience in administrative support or a related coordination role.
• Proficiency with Microsoft Excel and the broader Microsoft Office Suite.
• Strong accuracy and attention to detail when handling records and documentation.
• Ability to manage several priorities effectively in a fast-paced work environment.
• Clear written and verbal communication skills for working with internal and external contacts.
• Experience with data entry and document management tasks.
• Exposure to import, export, or logistics documentation is preferred but not required.
• Detail-oriented, dependable, and able to maintain a positive approach in day-to-day work.
