Office Manager – Pediatric Therapy Clinic

Total Education Solutions (TES) is seeking an organized, energetic, and customer-focused Office Manager to lead the daily operations of our busy pediatric therapy clinic. If you enjoy multitasking, creating efficient systems, and supporting a team that changes children's lives, we'd love to meet you!

Our multidisciplinary clinic provides Physical Therapy (PT), Occupational Therapy (OT), Speech Therapy (ST), and Applied Behavior Analysis (ABA) services to children and families throughout San Diego.

Compensation: $20 – $28.79/hr*
*Salary is based on related experience, certification, education, and bilingual proficiency (when used in the role at least 50% of the time).

What You'll Do

  • Manage the day-to-day operations of a busy pediatric therapy clinic.
  • Provide exceptional customer service to families, therapists, and community partners.
  • Answer phones, greet families, and serve as the primary point of contact for the clinic.
  • Schedule evaluations, therapy appointments, and staff calendars.
  • Enter new clients and maintain accurate records in our electronic medical record (EMR) system.
  • Support payroll processes, therapist schedules, and timekeeping.
  • Maintain spreadsheets, reports, and operational tracking tools.
  • Order office and clinic supplies and manage inventory.
  • Coordinate with therapists to ensure smooth daily operations.
  • Support education contracts and communication with school partners.
  • Troubleshoot issues, prioritize competing tasks, and keep the clinic running efficiently.
  • Collaborate closely with the Business Support Manager and partner with leaders across our Southern California region of four clinics.

What We're Looking For

  • At least 2 years Admin experience
  • Excellent customer service and communication skills
  • Strong organizational and time management abilities
  • Comfortable managing multiple priorities in a fast-paced environment
  • Experience with Microsoft Office, Google Workspace, and spreadsheets
  • Ability to learn new software and electronic medical record systems
  • Positive attitude, attention to detail, and a team-first mindset
  • Previous experience in healthcare, therapy, medical, behavioral health, or a busy office environment is preferred
  • Must clear a current background check through the FBI and DOJ
  • A negative TB Test
  • Hold appropriate automobile insurance with limits that allow driving a personal vehicle for work (25/50k liability coverage)
