Job Description

Job DescriptionWe are looking for a dependable Receptionist to support daily front-desk operations in California. This Contract position is ideal for someone who enjoys creating a welcoming experience for visitors while keeping communications, scheduling, and administrative tasks organized. The right candidate will be comfortable handling a busy phone line, managing correspondence, and maintaining accurate records in a fast-paced office setting.

Responsibilities:
• Greet visitors courteously and serve as the first point of contact for guests, clients, and staff members.
• Manage a multi-line phone system, direct incoming calls appropriately, and take clear, accurate messages when needed.
• Coordinate calendars and arrange appointments to help maintain an efficient daily schedule for the office.
• Prepare, send, and respond to email communications in a timely and detail-oriented manner.
• Enter and update information in office systems with a strong focus on accuracy and completeness.
• Maintain organized digital and physical filing systems so records can be accessed quickly when needed.
• Use Microsoft Word, Excel, and Outlook to support routine administrative activities and document preparation.
• Provide courteous customer service while assisting with general front-office questions and requests.• Previous experience in a receptionist, front desk, or administrative support role.
• Ability to operate a multi-line phone system with efficiency.
• Strong customer service and interpersonal skills with a welcoming demeanor and attention to detail.
• Accurate data entry skills and attention to detail when handling records and correspondence.
• Proficiency with Microsoft Word, Excel, and Outlook for day-to-day office tasks.
• Ability to organize files, manage schedules, and balance multiple priorities effectively.
• Clear written and verbal communication skills for phone, email, and in-person interactions.
