Clinical Coordinator Supervisor

Department: Nursing Operations
Reports To: Director of Nursing
Supervises: Nurse Scheduling Coordinators

Position Summary

The Clinical Coordinator Supervisor serves as a key leader for the team that acts as liaisons between patients, providers, pharmacy operations, nursing staff, intake, logistics, and external healthcare partners to ensure safe, efficient, and timely delivery of infusion therapies. This position is responsible for the oversight of coordinating patient care across Ambulatory Infusion Suites (AIS), home infusion services, physician offices, and other approved sites of care while maintaining exceptional customer service and regulatory compliance.

Essential Duties and Responsibilities

Supervision of Patient Care Coordination

  • Review all new referrals with Nursing Leadership, Intake, Pharmacy, and Authorization teams to ensure clinical appropriateness and timely initiation of care.
  • Ensure smooth coordination of patient scheduling for home infusion visits, Ambulatory Infusion Suites (AIS), physician offices, and alternate sites of care.
  • Collaborate with Pharmacy Operations to streamline medication availability and timely delivery of medications, supplies, and equipment.
  • Coordinate nursing assignments based on patient needs, geography, nurse competencies, and scheduling availability.
  • Ensure timely start of care and continuity of therapy for all assigned patients.

Clinical Support

  • Provide clinical triage and escalation support for patients, nurses, providers, and referral sources.
  • Coordinate first-dose administrations, nursing education visits, and patient teaching appointments as needed.
  • Support nursing staff by addressing scheduling concerns, patient care issues, supply needs, and operational barriers.
  • Escalate clinical concerns to the Nursing Director as appropriate.
  • Assist with management of patient complaints, incident reports, and unusual occurrences according to CSP policies.

Interdepartmental Collaboration

  • Serve as a primary point of communication between Nursing, Pharmacy, Intake, Authorization, Logistics, and Billing departments.
  • Collaborate with Logistics to ensure timely and appropriate delivery of medications and supplies to patient homes and AIS locations.
  • Partner with Revenue Cycle and Patient Financial Services teams to support copay collection and financial clearance processes if requested.
  • Coordinate with external providers, physician offices, hospitals, case managers, and referral sources to facilitate seamless patient care.

Scheduling and Operational Oversight

  • Monitor daily and future nursing scheduler and create nurse schedules to ensure adequate staffing coverage across all service areas.
  • Assist with management of nursing visit schedules, patient appointments, and staffing adjustments.
  • Support on-call scheduling and after-hours patient care coordination as needed.
  • Maintain accurate documentation within company systems and electronic medical records.

Compliance and Quality

  • Maintain knowledge of federal, state, accreditation, and payer-specific regulations governing infusion services.
  • Ensure compliance with HIPAA and patient confidentiality requirements.
  • Participate in quality improvement initiatives and process enhancement projects.
  • Assist with audits, accreditation preparation, and compliance monitoring activities.
  • Promote patient safety and adherence to CSP policies and procedures.

Additional Responsibilities

  • Support special projects and initiatives assigned by Nursing Leadership.
  • Participate in department meetings, staff education, and ongoing professional development activities.
  • Perform other duties as assigned to support organizational goals and patient care excellence.

Qualifications

Education

  • Licensed Vocational Nurse (LVN) preferred but not required.
  • Associate's or Bachelor's degree.

Experience

  • Minimum three (3) years of healthcare experience preferred.
  • Minimum one (1) year of infusion therapy, specialty pharmacy, home infusion, ambulatory infusion, or related specialty care experience preferred.
  • Experience coordinating care across multiple sites of service preferred.
  • Previous experience with infusion scheduling, intake, or clinical operations strongly preferred.
