Job Summary


Our construction business is seeking a responsible Administrative Assistant to join our team.


The responsibilities include supporting our managers, employees, and clients, assisting with daily office needs, and managing our company’s general administrative activities while upholding our service-oriented mentality.


We have been operating in the Bay Area for over 30 years. We are looking for someone with excellent oral and written communication skills and prior experience with general office equipment and computer software, including macOS. Familiarity with the construction industry is preferred but not required.



Duties and Responsibilities


  • Answer and direct phone calls.
  • Greet and assist onsite guests.
  • Assist with company-sponsored events.
  • Organize and schedule appointments on multiple calendars.
  • Order tools and materials for the shop.
  • Order office supplies, maintain stock, organize supplies, etc.
  • Manage copying, filing, faxing, shredding, mail, packages, and other general clerical duties.
  • Manage time efficiently for errands (mail, bank, material pickup/drop off, lunch, etc.)
  • Manage company vehicle registration, maintenance, etc.
  • Manage property maintenance information binders.
  • Prepare yearly Safety and Tailgate meeting binders
  • Maintain stock for company shirts/sweatshirts.
  • Manage/obtain/transfer files in the storage room and move accordingly at the end of the fiscal year.
  • Assist with obtaining certificates of insurance for subcontractors and update binders accordingly.



Requirements/Qualifications: The knowledge, skills, and abilities required to perform the daily tasks and job duties are as follows:


  • Proven experience as an administrative assistant, office assistant, etc.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment.
  • Working knowledge of MS Office, iOS, Google, etc.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask.
  • Working knowledge of the English language; Spanish is a plus.
  • At least 18 years of age and legally able to work in the United States.
  • Reliable transportation and a valid California Driver's License.
  • Other tasks as assigned based upon the needs of D.R.S. Stairs, Inc. and/or the client.
