Key Responsibilities

  • Administer and support employee leaves of absence, including the return-to-work process
  • Demonstrate compliance with the organization's Code of Conduct and compliance policies, and appropriately address or report compliance concerns
  • Apply federal and state leave laws and organizational policies when responding to employee LOA inquiries
  • Assist employees with California EDD State Disability Insurance (SDI) and Paid Family Leave (PFL) benefit programs
  • Respond to employee and leader inquiries through phone and email regarding leave-related questions
  • Track leave utilization and balances within the applicable timekeeping and HR information systems
  • Run Workday audit reports and communicate with employees who are within seven days of their expected return from leave
  • Enter leave returns, extensions, and related updates in Workday and follow up with employees regarding their return-to-work status
  • Track employees who have not responded to return-to-work communications and coordinate appropriate follow-up with the Leave of Absence Specialist
  • Run and review intermittent leave reports from the Matrix portal, confirm leave usage, and provide balances as requested
  • Partner with employees to confirm FMLA and CFRA eligibility and coordinate with Matrix regarding applicable claim denials or reconsiderations
  • Review Matrix daily reports and enter new leaves of absence, extensions, cancellations, and other updates into the HR information system
  • Review maternity and paternity leave reports and communicate instructions to employees regarding adding a newborn to their medical benefits; coordinate with Human Resources as needed to process benefit changes
  • Track Matrix claim denials and coordinate with the Leave of Absence Specialist regarding appropriate employee communications and required documentation
  • Assist with the preparation and maintenance of job aids, standard operating procedures (SOPs), and other LOA-related communications
  • Provide medical release documentation and restrictions to the Leave of Absence Specialist for coordination of interactive accommodation meetings
  • Attend bi-weekly meetings with Matrix and communicate issues requiring resolution
  • Maintain confidentiality when handling sensitive employee and medical information
  • Perform other duties as assigned

Required Qualifications

  • 1+ years of experience
  • Bachelor's Degree
  • HR Certification
