Executive Assistant – Behavioral Health
Location: Murrieta, CA
Employment Type: Full-Time, In-Person
Schedule: Monday–Friday, 9:00 AM–5:00 PM
Compensation: $80,000 annually + Benefits
Reports To: Chief Executive Officer
Position Overview
We are seeking a highly organized, polished, and proactive Executive Assistant to directly support the CEO of a growing behavioral health organization overseeing multiple psychotherapy and mental health clinics.
This is not a traditional administrative assistant position. The ideal candidate will serve as a trusted extension of the CEO, helping coordinate priorities across multiple locations, manage a fast-moving executive schedule, communicate with clinical and operational leadership, and ensure important initiatives continue moving forward.
Prior experience within behavioral health, mental health, psychotherapy, addiction treatment, or a closely related healthcare environment is strongly preferred. Candidates should understand the pace, discretion, terminology, and professionalism required when supporting leadership within a clinical organization.
Key Responsibilities
- Provide comprehensive administrative and executive support directly to the CEO.
- Manage a complex calendar, including meetings, appointments, calls, deadlines, and competing priorities.
- Coordinate communication and activities across multiple psychotherapy and behavioral health clinics.
- Serve as a professional liaison between the CEO, clinical leadership, employees, vendors, and outside partners.
- Organize meetings, prepare agendas, document action items, and follow up with appropriate team members to ensure completion.
- Assist the CEO with prioritizing projects, correspondence, operational needs, and time-sensitive matters.
- Draft and proofread professional emails, correspondence, presentations, reports, and other executive-level materials.
- Maintain confidential employee, patient, financial, operational, and organizational information with a high degree of discretion.
- Track projects, deadlines, deliverables, and follow-up items across multiple departments and locations.
- Coordinate travel, meetings, events, and other logistical needs as necessary.
- Assist with administrative and operational projects involving clinic leadership, HR, recruiting, compliance, and business operations.
- Anticipate the CEO's needs and proactively address scheduling conflicts, outstanding tasks, and potential operational issues.
- Maintain a professional and organized executive office environment.
- Handle sensitive or confidential matters with excellent judgment and discretion.
Qualifications
- Previous Executive Assistant, Executive Coordinator, Administrative Manager, or similar experience supporting senior leadership.
- Experience working within behavioral health, mental health, psychotherapy, substance use treatment, or a related healthcare setting strongly preferred.
- Experience supporting an executive responsible for multiple facilities, clinics, locations, or business units is highly desirable.
- Exceptional organizational skills with the ability to manage numerous priorities simultaneously.
- Strong written and verbal communication skills.
- Highly professional, polished, personable, and comfortable interacting with executives, clinicians, employees, and outside business partners.
- Strong attention to detail and follow-through.
- Ability to anticipate needs rather than waiting for direction on every task.
- Excellent judgment and ability to maintain strict confidentiality.
- Comfortable working in a fast-paced environment where priorities may change throughout the day.
- Strong proficiency with Microsoft Office and/or Google Workspace.
- Ability to work in person in Murrieta Monday through Friday from 9:00 AM–5:00 PM.
