Job Announcement - Office Manager Early Childhood Education Center
Associated Students of SFSU is seeking an Office Manager to work at our Early Childhood Education Center. The Office Manager will perform a variety of tasks such as budget analysis, grant administration, client accounts, personnel files, purchasing, receiving, facility oversight, and receptionist duties. The Office Manager is an integral part of the Center management team and responsible for assisting the Director in all aspects of Center management.
Organization and Program Profile:
AS is the student government at SF State and serves as the official voice of students. AS promotes an enriched co-curricular student life experience and is dedicated to the empowerment of SF State’s diverse student body through a commitment to social justice and shared governance. AS provides and supports services and programs, maintains fiduciary responsibility, and engages in campus-wide collaborations and external advocacy efforts.
The ECEC’s primary goal is to assist student parents attain their educational goals by providing appropriate care for their young children in a high-quality, convenient and affordable educational setting. Our educational philosophy draws upon a variety of educational approaches to support each child’s optimum growth and development as well as make children’s learning visible. As a campus-based childcare program, we also provide opportunities for student employment and Early Childhood teacher training.
Position Description:
The Early Childhood Education Center (ECEC) is seeking an organized, detail-oriented, and collaborative Office Manager to support the day-to-day administrative and business operations of the Center. Reporting to the ECEC Director, the Office Manager is an integral member of the Center’s management team and provides support across a variety of operational areas, including client accounts, budget and financial administration, personnel records, purchasing, grant and program documentation, licensing compliance, facilities coordination, and general office administration.
This Full-Time (non-exempt 12-month) position is ideal for someone who enjoys managing multiple priorities, working with families and staff, maintaining accurate records, and helping ensure the smooth operation of a busy early childhood education environment.
Center Hours of operation are 7:30 am - 5:00 pm.
Work schedule: between the hours of 7:15am – 5:15 pm. Occasional overtime work may be required to meet critical project deadlines.
Key Responsibilities:
The Office Manager will:
- Manage client and family accounts, including enrollment and attendance records, account documentation, payment follow-up, and required statistical reporting.
- Support business and financial operations, including purchase orders, requisitions, expense tracking, revenue records, agency-funded accounts, invoices, reimbursements, and monthly financial reporting.
- Maintain personnel and compliance records for employees, substitutes, volunteers, interns, and practicum students, including required licensing and fingerprint documentation.
- Prepare Personnel Action Notices (PANs), assist with employee orientation processes, and maintain required personnel documentation.
- Lead and direct part-time Office Assistants and substitute teachers in support of Center operations.
- Maintain required Community Care Licensing (CCL) forms, facility records, and other regulatory documentation.
- Support the Child and Adult Care Food Program (CACFP), including program documentation, meal forms, menu coordination, ordering, reimbursement claims, and compliance requirements.
- Coordinate office purchasing, supplies, equipment, keys, and inventory.
- Serve as a liaison for building maintenance requests and collaborate with Facilities and IT as needed.
- Provide administrative and customer service support to families, staff, visitors, and other members of the campus community.
- Assist with enrollment materials, waitlists, Center communications, publications, and other administrative projects.
Qualifications: What We’re Looking For

- Experience working with computerized databases, spreadsheets, and administrative systems.
- Knowledge of accounts receivable and basic accounting practices.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
- Ability to communicate effectively and respectfully with families, staff, students, and individuals from a wide range of backgrounds.
- Knowledge of Community Care Licensing (CCL) regulations and childcare-related compliance requirements.
- Proficiency with Microsoft Office and Google Workspace; experience with childcare management and reporting systems is desirable.
Education & Experience
- Bachelor’s degree (BA/BS); a business-related field is preferred.
- Two years of experience directly related to the duties and responsibilities of the position.
- Previous experience working in a childcare program is preferred.
- Current Pediatric First Aid and CPR certification is required.
Salary/Benefits
Salary Range: $65,600 – 78,282 annually based on qualifications and experience.
This position receives grant funding through the San Francisco Department of Early Childhood.
