Location: St. Helena, CA | On-Site
Salary: $80,000–$110,000 annually, commensurate with experience

Position Overview
We are seeking a highly organized and detail-oriented Project Coordinator to support the administrative and financial operations of construction projects.
This role is primarily focused on project accounting, subcontractor coordination, invoice processing, pay applications, and maintaining accurate project documentation.
The ideal candidate has a background in accounting, bookkeeping, construction administration, or project coordination and thrives in an environment where organization, accuracy, and follow-through are essential.
While construction industry experience is beneficial, it is not required for candidates with strong transferable accounting and administrative skills. A college degree is not required.
The Project Coordinator will work closely with Project Managers and internal teams to ensure project financial documentation and administrative processes are managed efficiently.
Key Responsibilities
Project Accounting & Financial Administration

Collect, organize, and process subcontractor and vendor invoices for Project Manager review and approval.

Compile monthly project pay applications, including supporting documentation and lien waivers.

Maintain accurate financial records and project-related documentation.

Coordinate with Project Managers and accounting personnel to resolve invoice discrepancies and outstanding documentation.

Track payment-related paperwork and ensure timely submission of required documents.
Subcontractor & Vendor Administration

Prepare and maintain subcontract agreements and related project documentation.

Register and onboard new subcontractors for assigned projects.

Draft, process, and track subcontractor change orders.
