Job DescriptionWe are looking for an Accounting Assistant to join our team in Santa Barbara, California on a Contract basis. This position supports day-to-day accounting operations by handling payables, cash activity, financial records, and administrative coordination. The ideal candidate brings a strong attention to detail, comfort working with accounting systems, and the ability to support multiple finance processes in a fast-paced environment.

Responsibilities:
• Review and process vendor invoices accurately, ensuring payments are prepared on time and in accordance with approval procedures.
• Maintain supplier documentation, including tax forms and reporting records, and assist with year-end 1099 preparation.
• Prepare check runs, secure necessary authorizations, and keep payment activity organized for audit readiness.
• Track petty cash activity, reconcile balances, and preserve clear supporting documentation for all transactions.
• Record daily receipts, deposits, and other incoming funds while reconciling activity within the accounting system.
• Enter contributions, membership payments, and sales-related transactions into financial records with a high degree of accuracy.
• Monitor available cash, prepare bank deposits, and help manage cash boxes to support operational needs.
• Assist with pension and planned giving disbursements, payroll backup tasks, audit preparation, staff guidance on payable procedures, and additional support for the Controller and finance team as needed.• At least 2 years of experience in an accounting support or bookkeeping role.
• Working knowledge of accounts payable, accounts receivable, and bank reconciliation processes.
• Experience using QuickBooks or a comparable accounting platform.
• Ability to code invoices accurately and maintain organized financial documentation.
• Strong attention to detail with the ability to manage multiple tasks and meet deadlines.
• Comfortable handling cash transactions, deposits, and payment records with accuracy and discretion.
• Clear communication skills and the ability to collaborate with finance staff and other departments.
