Workers’ Compensation Defense Legal Assistant

Full-Time | In-Office

We are a busy and growing law firm seeking a dependable, highly organized, and experienced Workers’ Compensation Defense Legal Assistant to join our team. The ideal candidate is proactive, detail-oriented, comfortable managing a fast-paced caseload, and familiar with California workers’ compensation practice and WCAB procedures.

This position is best suited for someone who takes ownership of their work, follows through without constant supervision, communicates well, and understands the importance of deadlines and accuracy in a legal practice.

Responsibilities

  • Provide administrative and litigation support to attorneys handling California workers’ compensation defense matters.
  • Prepare, revise, format, and finalize correspondence, pleadings, discovery, petitions, hearing documents, and other legal filings.
  • File documents through EAMS and ensure filings are timely and properly completed.
  • Calendar and monitor all deadlines, hearings, depositions, medical-legal evaluations, conferences, trials, and follow-up dates.
  • Schedule depositions, QME/AME evaluations, witness interviews, and other case-related appointments.
  • Prepare deposition notices, subpoenas, correspondence, and records requests.
  • Obtain and organize medical records, medical-legal reports, personnel records, employment records, and other discovery.
  • Follow up with medical providers, opposing counsel, applicant attorneys, experts, vendors, and other parties regarding outstanding reports, records, discovery, and scheduling.
  • Assist with preparation for MSCs, Priority Conferences, Expedited Hearings, Trials, and lien proceedings.
  • Maintain organized electronic case files and ensure correspondence, reports, pleadings, and other documents are properly saved and categorized.
  • Review incoming mail, reports, and correspondence and appropriately calendar or route time-sensitive matters.
  • Communicate professionally with clients, insurance carriers, third-party administrators, opposing counsel, medical offices, and WCAB personnel.
  • Assist attorneys with case status reporting and general file management.
  • Handle additional administrative and litigation-related responsibilities as needed.

Qualifications

  • Prior experience as a workers’ compensation legal assistant or secretary is strongly preferred, particularly on the defense side.
  • Familiarity with California workers’ compensation law, WCAB procedures, and EAMS is highly desirable.
  • Strong knowledge of legal calendaring and deadline management.
  • Excellent written and verbal communication skills.
  • Strong proofreading, grammar, spelling, and document-formatting skills.
  • Highly organized with excellent attention to detail.
  • Ability to prioritize multiple assignments and work efficiently in a deadline-driven environment.
  • Comfortable following up persistently on outstanding items and taking initiative without waiting to be reminded.
  • Proficiency with Microsoft Word, Outlook, Adobe Acrobat, and electronic document management.
  • Ability to maintain professionalism and confidentiality.
  • Dependable attendance and a strong work ethic are essential.

We are looking for someone who is not simply waiting for assignments, but who actively manages the files assigned to them. The right candidate notices when something is missing, follows up, keeps deadlines from falling through the cracks, and makes sure the attorney knows when an issue requires attention.

You should be comfortable working independently while also functioning as part of a close-knit legal team. Accuracy, responsiveness, reliability, and good judgment are extremely important in this position.

Schedule

Full-time, Monday through Friday.
Position is primarily in-office in Encino, California.

Compensation

Competitive compensation commensurate with experience.
