We are seeking a highly organized, detail-oriented, and bilingual Office Assistant/Sales to be part of our OEM Division. This position will assist with customer communication, sales, order processing, vendor coordination, quotations, documentation, inventory tracking, production follow-up, and shipment scheduling.

The ideal candidate has experience in office support, account coordination, office administration, OEM, manufacturing, importing, or a related industry. This role requires excellent communication skills, strong follow-through, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Manage daily emails and correspondence from customers, vendors, freight forwarders, coworkers, and other business contacts.
  • Communicate with customers, overseas vendors, internal departments, and out-of-state partners.
  • Process customer orders and support OEM projects from initial inquiry through final delivery.
  • Prepare quotations, acknowledgments, correspondence, reports, presentations, and other business documents.
  • Assist with product specifications, pricing, sourcing, order details, and related documentation.
  • Coordinate production schedules, shipment schedules, delivery timelines, and order follow-up.
  • Maintain and update sales, order-status, inventory, shipment, and other business-tracking tables.
  • Follow up with customers, vendors, and internal teams to ensure deadlines and commitments are met.
  • Resolve order, production, documentation, or shipping issues in a timely and professional manner.
  • Maintain an appropriate inventory level to support short-notice orders.
  • Use basic business calculations involving discounts, profits, costing, exchange rates, duties, and tariffs.
  • Maintain accurate digital and physical records while protecting confidential information.
  • Provide administrative and executive support as needed.
  • Learn and develop knowledge of related industries and products, including trailers, trackers, automotive brake systems, and other OEM-related products.

Qualifications and Experience

  • At least five years of experience in executive support, office administration, account coordination, operations, or a related role preferred.
  • Experience in OEM, manufacturing, importing, sourcing, or international business preferred.
  • Experience managing processes from customer inquiry through order completion and delivery.
  • Knowledge of OEM account management, including quotations, product specifications, sourcing, order processing, and follow-up.
  • Familiarity with international trade, logistics, duties, tariffs, and freight coordination is a plus.
  • Strong written and verbal communication skills in English.
  • Fluency in spoken and written Mandarin required.
  • Taiwanese language skills preferred.

Skills and Technical Requirements

  • Ability to manage multiple OEM accounts and priorities simultaneously.
  • Excellent attention to detail and accuracy in data entry, pricing, proofreading, specifications, and document preparation.

  • Strong teamwork and interpersonal skills.
  • Adaptability and willingness to handle a wide range of responsibilities.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, or Google Workspace.
  • Advanced Excel skills, including the ability to create formulas and perform business calculations.
  • Experience with Sage 100 or a similar ERP system is a plus.
  • Familiarity with shared calendars, Microsoft Teams, Zoom, conference calls, and other collaboration tools.
  • Accurate typing and data-entry skills; typing speed of 50+ words per minute preferred.
  • Familiarity with digital and physical filing systems and database recordkeeping.
