LOCATION: On-site in La Jolla, CA on the beautiful UC San Diego Campus

CLASSIFICATION: Temporary, Part-time (up to 29 hours per week), Non-exempt (hourly)

COMPENSATION: $20.75 per hour

ASSIGNMENT DURATION: September 2026 – March 2027

SCHEDULE: Varies (weekdays, weekends, nights, holidays)

ABOUT THE ROLE:

The Company Management Assistant will provide hands-on support to the Company Management (CoMan) team by welcoming and supporting visiting artists for La Jolla Playhouse’s upcoming world-premiere musicals GRIM and PARTICLE FEVER. This temporary part-time role is ideal for someone who is detail-oriented, hospitable, and energized by the pace of live theatre, with day-to-day responsibilities that vary based on rehearsal, performance, artist, housing, travel, and event needs.

This is a great opportunity for someone interested in artist services, company management, hospitality, and theatrical production logistics to gain hands-on experience supporting major world-premiere musicals in a professional regional theatre environment. Weekly hours will vary based on production schedules, artist arrivals and departures, rehearsals, performances, special events, and housing or transportation needs.


WHAT YOU'LL DO:

  • Assist the CoMan team with duties as assigned.
  • Act as a liaison between La Jolla Playhouse and visiting artists including actors, musicians, designers, and creative staff. Provide concierge-type service and act as a resource for information to all visiting artists.
  • Safely drive company vehicles and/or company-rented vehicles, INCLUDING 15-PASSENGER VAN to transport visiting artists to and from the airport, company housing, daily rehearsals at La Jolla Playhouse, grocery store, and other various locations.
  • Assist with coordinating travel for visiting artists including creating travel itineraries and providing arrival instructions.
  • Process check requests and expense reimbursements.
  • Assist artists with shipping and receiving personal belongings.
  • Assist with coordinating and arranging housing for all visiting artists. Assist with all operational details to prepare the Company housing which includes: completing inventory, purchasing and/or replacing any damaged or missing items, and scheduling maintenance appointments as needed.
  • Assist with planning and executing special events including Company Breakfasts, Tech Dinners, Opening Night Cards & Gifts, and Closing Night Toasts. Responsibilities include assisting with the planning, setting up, hosting, shopping for necessary items, coordinating with vendors, ordering and picking up food, beverage and/or specialty gift items and overall clean up.
  • Assist with maintaining the Housing Maintenance Log and tracking vehicle maintenance needs.

WHAT YOU BRING:

  • Previous theatre administration experience highly desired.
  • Must be familiar with theatre terminology and practices.
  • Customer service and hospitality experience is preferred.
  • Ability to maintain highly confidential information and use excellent judgment on a variety of sensitive subjects.
  • Knowledge of Microsoft Office, including Outlook, Word and Excel.
  • Strong interpersonal skills including tact, diplomacy, flexibility and a positive and friendly disposition.
  • Strong attention to detail.
  • A high degree of creativity, initiative, and resourcefulness.
  • Performing Arts interest and/or experience desired.
  • To drive the 15-passenger vehicle, applicants must be at least 23 years old, hold a valid driver’s license, and have a clean driving record.

PHYSICAL REQUIREMENTS:

  • Frequently lifts/moves items weighing up to 50 lbs with or without team assistance.
  • Must be able to work a flexible schedule, including nights, weekends and holidays.
