Position Summary

Responsible for the scheduling, processing, auditing, and coordination of clinical supply orders based on client requests. Ensures the accurate and timely distribution of clinical trial materials while maintaining compliance with company SOPs, GMP requirements, and customer-specific study protocols.


Key Responsibilities

  • Coordinate and dispatch clinical trial material shipments to clinical sites.
  • Collaborate with Project Management teams to define study-specific distribution requirements.
  • Process supply orders and assemble distribution folders generated both onsite and offshore.
  • Audit shipment folders and documentation for accuracy against customer requests and source documentation.
  • Generate and analyze reports to monitor and coordinate daily and weekly workflow activities.
  • Ensure all orders are processed and shipped within agreed turnaround timelines.
  • Maintain productivity expectations, including achieving 95% work completion to floor by the previous day.
  • Partner with Distribution Project Coordinators to support issue resolution and operational efficiency.
  • Coordinate the destruction and disposal of obsolete or expired clinical materials onsite.
  • Create and maintain Just-in-Time (JIT) labeling worksheets.
  • Manage distribution group mailboxes and ensure shipment scheduling requirements are met.
  • Acknowledge shipment dispatches in IVRS systems when required.
  • Generate shipment documentation for clinical trial materials.
  • Support and review commercial/proforma invoice templates alongside Distribution Project Coordinators.
  • Perform additional duties, special projects, and related responsibilities as assigned.


Qualifications & Requirements

  • Strong computer proficiency, including Microsoft Word, Excel, and PowerPoint.
  • Previous experience in Distribution, Logistics, or Supply Chain operations preferred.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to interpret and execute written and verbal instructions effectively.


Education & Experience

  • High School Diploma or equivalent required.
  • Minimum of 2–4 years of relevant industry experience preferred.
