We are seeking a dependable Customer Service Representative for their Dental Clinic to deliver exceptional service and enhance the patient experience by ensuring a welcoming, timely, and accurate check-in process.

Reporting to the Front Office Lead, the Customer Service Representative is responsible for greeting and assisting patients and visitors with courtesy, professionalism, and respect while creating a positive first impression.

What You’ll Do

Key Responsibilities

  • Welcome patients and clinic visitors with a warm, friendly smile
  • Greet and assist all patients and visitors promptly, courteously, and professionally
  • Treat patients, visitors, and staff with dignity, kindness, and compassion
  • Deliver exceptional customer service to enhance the patient and staff experience
  • Support smooth patient flow by promptly completing check-in and communicating next steps
  • Verify patient eligibility and assist with enrollment in additional programs based on program qualifications
  • Verify and update patient demographics, insurance, and other required information in the EMR
  • Collect payments and follow cash-handling procedures established by the Finance Department
  • Obtain required patient documentation, including photo ID, insurance, Medi-Cal, Medicare, and/or Social Security cards
  • Assist patients with completing required forms
  • Notify back-office care team members when patients complete the check-in process
  • Confirm appointments & follow up on appointment no-shows as directed
  • Maintain assigned program logs as directed by the Clinic Manager or doctor
  • Actively participate in assigned care team meetings
  • Complete assigned clinic closing duties, including securing the facility at the end of the shift
  • Maintain a safe, comfortable environment for patients, families, and staff
  • Follow HIPAA standards and maintain strict patient confidentiality
  • Perform other duties and responsibilities as assigned

What We Are Looking For

Experience, Skills and Attributes

  • 1-2 years’ experience working in dental office
  • Excellent customer service and professional phone etiquette
  • Strong computer skills, including keyboarding, Windows, and accurate data entry
  • Bilingual in English and Spanish preferred
  • Exceptional patient relations and interpersonal skills
  • Ability to work effectively with diverse populations
