Job Description

We’re looking for an exceptionally organized, resourceful, and creatively minded Executive & Creative Operations Coordinator to work closely with Parasol’s co-founders while helping drive the day-to-day execution of the company’s creative and business operations.
\n
\n
This is a unique, highly cross-functional role spanning executive support, creative operations, sync, A&R, publishing, label, events, and company-building. You’ll help keep priorities moving, information organized, and projects on track while gaining exposure to nearly every aspect of a fast-growing independent music company.

The ideal candidate loves music, has exceptional judgment and follow-through, and is equally comfortable coordinating a meeting, organizing a music catalog, preparing a client presentation, setting up a writing session, or figuring out how to make a new process work better.

What You'll Do
\n
Executive & Business Support
\n
- \n
- Provide day-to-day support to Parasol’s co-founders, including calendar management, scheduling, meeting coordination, travel, and administrative support
- Help prioritize and track key follow-ups, commitments, deadlines, and action items
- Prepare materials and provide logistical support for meetings, presentations, industry events, and business development initiatives
- Coordinate communications and follow-ups with clients, artists, partners, and other key relationships
- Anticipate needs, identify potential issues, and help keep priorities moving without requiring constant direction
- Help create and improve systems, processes, and workflows as the company grows

Creative Operations
\n

- Maintain and organize Parasol’s music catalog, assets, metadata, playlists, and project files, including DISCO
- Maintain key creative and production trackers and keep projects, deadlines, and deliverables on schedule
- Assist the creative team with incoming briefs, pitch preparation, playlist building, music searches, asset delivery, and pitch tracking
- Coordinate client requests and deliverables, ensuring they are handled accurately and promptly
- Assist with A&R initiatives, including artist research, outreach, onboarding, session scheduling and setup, and catalog intake
- Coordinate clearance, licensing, deal execution, and finance workflows, including document management, vendor information, rights information, and invoicing support
- Handle publishing administration, including song registrations, metadata collection, split information, and catalog maintenance
- Assist with label releases from setup through delivery, coordinating assets, metadata, credits, timelines, and other deliverables
- Maintain release calendars and help ensure projects stay on schedule
- Create marketing mailers, playlists, presentations, and pitch decks

Marketing, Events & Community

- Assist with social media posting, marketing materials, press releases, and other company communications
- Coordinate creative assets and content around company initiatives, artist projects, releases, and events
- Support the planning and execution of Parasol events, writing camps, showcases, retreats, and industry gatherings
- Coordinate logistics including schedules, attendees, venues, vendors, travel, materials, and communications
- Provide on-the-ground support as needed to help events and creative programs run smoothly

You likely have:

- \n
- 2–4+ years of experience in music, entertainment, executive support, creative operations, sync, publishing, label operations, or a related field
- Exceptional organizational skills and obsessive attention to detail
- Strong judgment and discretion, with an instinct for when to take initiative, when to ask questions, and when to escalate
- Excellent written and verbal communication skills and the ability to interact professionally with artists, executives, clients, and partners
- The ability to manage multiple projects, deadlines, stakeholders, and shifting priorities simultaneously
- A proactive, resourceful approach—you anticipate needs, solve problems, and follow through without waiting to be asked
- An entrepreneurial, builder’s mindset—you’re excited to join a growing company, take ownership, solve problems creatively, and help build better systems and ways of working as we scale
- Comfort operating in an environment where priorities evolve, everyone pitches in, and great ideas can come from anywhere
- Comfort working with contracts, metadata, spreadsheets, invoices, presentations, and administrative systems
- Familiarity with DISCO and music catalog management; experience with publishing, licensing, distribution, rights administration, or label operations is a plus
- Strong musical instincts and genuine enthusiasm for discovering and working with artists
- A collaborative, low-ego attitude and comfort moving between creative, operational, and administrative work
- Genuine excitement about Parasol’s mission and helping build the next stage of the company
