Position Summary
The Human Resources Assistant provides day to day operational support pertaining to all Human Resources Administration in collaboration with the Human Resources Director: Recruiting, New Hire Orientation, Insurance Benefits Administration, Worker's Compensation, Leaves of Absence and Disability Benefits, Personnel File Management and Credentialing and Employee Relations issues as needed.
Essential Position Responsibilities
· Maintain and update employee personnel files, HR databases, and organizational records to ensure accuracy and compliance with federal, state, and FQHC-specific regulations.
· Assist in the development, implementation, and communication of HR policies and procedures.
· Prepare HR reports, letters, and documentation related to hiring, employment, and compliance.
· Assist with benefits administration, including enrollment, changes, and responding to employee inquiries.
· Facilitate employee onboarding, orientation, and offboarding processes, ensuring all required documentation, trainings, and compliance requirements are completed.
· Serve as a point of contact for HR-related questions from employees and management.
· Post job openings on internal and external platforms, review applications, and coordinate interview schedules.
· Communicate with candidates and hiring managers throughout the recruitment process.
· Support background checks, reference verification, and offer letter preparation.
· Assist with credentialing and re-credentialing of providers, including verification of education, licensure, certifications, work history, and references.
· Maintain accurate provider credentialing files and ensure compliance with FQHC, state, and payer requirements.
· Track expiration dates for licenses, DEA registrations, certifications, and other required credentials, notifying providers and management of renewals.
· Prepare and submit credentialing packets to payers, managed care organizations, and other relevant entities.
· Coordinate with credentialing organizations and regulatory bodies to facilitate timely provider enrollment and compliance.
· Ensure HR and credentialing processes comply with HIPAA, federal, and state regulations, as well as FQHC policies.
· Assist with internal and external audits by compiling HR and credentialing documentation.
· Support ongoing HR quality improvement initiatives and reporting requirements.
· Provide general office and administrative support to HR leadership and other departments as needed.
· Assist with scheduling, document preparation, and other operational tasks to ensure smooth HR and credentialing workflows.
· Complete other duties as assigned in support of WCC’s mission.
Skills
· Good working knowledge of California and Federal employment laws and the ability to interpret them
· Good communication and small-group presentation skills
· Ability to effectively present information and respond to questions from supervisors, and employees
· Able to communicate difficult information in a way that preserves dignity and respect for individuals
· High level of interpersonal skills, integrity and the ability to keep information confidential
· High level of attention to detail and the ability to manage multiple priorities with competing deadlines
· Proficiency in Microsoft Office, internet research and easily able to learn new software programs
· Passion for service
Education/Experience
· 1-2 years of related experience in a similar role in an organization of at least 50 employees
· A Bachelor’s Degree in a related field and/or equivalent work experience is preferred
· A certificate in human resources from an accredited institution preferred
Supervisory Responsibilities
This position does not have any supervisory responsibilities.
Physical Requirements
Position requires prolonged hours of sitting at a computer, standing and walking in a clinic setting.
