The Hamilton Building is seeking an organized, welcoming, and proactive Part-Time Administrative Assistant to support our daily property operations and executive team in San Francisco. This is a great opportunity for a professional looking for a consistent, 20-hour weekly schedule in a premier commercial environment.
Position Overview:
As the initial point of contact at The Hamilton Building, you will greet arriving clients, tenants, and visitors, determine the reason for their visit, and ensure a seamless, professional office atmosphere. You will support our management staff with clerical duties including answering multi-line phones, making copies, organizing files, and updating our tenant/property databases. While we prefer candidates with prior administrative support experience, we are fully willing to train the right self-starter.
Key Duties and Responsibilities:
- Welcome and greet clients, tenants, and office guests with a polished demeanor.
- Support office staff and property management executives with day-to-day clerical tasks.
- Plan and schedule meetings, presentations, office-related events, and travel arrangements; send reminders for upcoming appointments.
- Answer phone calls in a professional manner, direct calls appropriately, or take detailed, accurate messages.
- Type paper and electronic correspondence, manage emails, and prepare outgoing mail and packages for management.
- Assist with the preparation of presentation and leasing materials.
- Monitor and maintain office equipment and inventory supplies; request repairs or restocks as necessary.
- Ensure the leasing and administrative offices remain clean, organized, and welcoming at all times.
Requirements and Qualifications:
- High school diploma or GED certificate required.
- 1+ years of experience as an administrative assistant or receptionist is a plus.
- Fast, proficient, and accurate typing skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and standard office equipment.
- Excellent customer service, verbal communication, and interpersonal skills.
- Self-starter who works well independently during daily 4-hour shifts.
- Dependable, punctual, and maintains a professional demeanor.
