Partner Management Event SpecialistThe Partner Management Event Specialist will serve as the central coordinator for all logistics, planning, and execution of 1:many partner-facing events in their theater. This role is responsible for ensuring a seamless experience for our partners—from event ideation to post-event reporting.This role will collaborate closely with Partner Account Managers (PAMs), Partner Marketing, and Partner Management Budget Admin to support our ‘To-Partner’ strategy by scaling high-impact events that deepen engagement and drive business results.You’ll be part of a newly formed team designed to improve executional rigor, reduce bottlenecks, and free up Field Marketing to focus on broader demand-generation and strategic initiatives.Key Responsibilities:Event Planning & Logistics:
- Own end-to-end logistics for 1:many partner events (e.g., roadshows, training sessions, enablement summits).
- Coordinate venue selection, contracts, catering, A/V, and materials (in-person, virtual, or hybrid formats).
- Manage vendor relationships and ensure timely execution of deliverables.
- Create and maintain detailed project timelines and checklists in Smartsheet or other planning tools.
- Track RSVPs, manage attendee communications, and own onsite registration and follow-up processes.
- Ensure all event logistics are compliant with internal processes and brand standards.
Financial & Operational Support:
- Partner with the Budget Administrator to initiate and track POs, process invoices, and monitor spend against budget.
- Ensure all contracts, SOWs, and vendor forms are completed and compliant.
- Maintain documentation and event-level financial records for audit-readiness.
- Enforce usage guidelines and proper classification for Partner-to activities.
- Ensure activities fall within approved Partner Management policy, with proper tracking and reporting.
Cross-Functional Coordination:
- Act as the go-to partner execution lead for PAMs for all 1:many To-Partner events.
- Work closely with Field Marketing to align on calendars, priorities, and partner expectations.
- Interface with Partner Marketing to ensure consistency of messaging and alignment with broader initiatives.
- Support timely updates in trackers, dashboards, and shared documentation for global visibility.
Post-Event Reporting & Feedback:
- Gather partner feedback and event performance metrics.
- Assist with post-event surveys, attendance recaps, and learnings to improve future activations.
Qualifications:
- 3-5 years of experience coordinating events, preferably in B2B or partner-facing environments.
- Strong project management and organizational skills.
- Ability to manage multiple projects simultaneously.
- Ability to navigate financial systems and tools (POs, contracts, budget tracking).
- Familiarity with budget tracking, financial systems and tools (POs, contracts) and working with procurement/finance teams.
- High attention to detail and ability to manage multiple tasks simultaneously.
- Experience working cross-functionally across marketing, finance, and operations teams.
- Self-starter with a customer-service mindset and a strong sense of accountability.
