Schedule- Hybrid, 3 days in office, 2 days remote
POSITION SUMMARY:
Under the direction of the Talent Acquisition Manager, the Talent Acquisition Specialist facilitates full-cycle recruitment efforts for the talent acquisition process. They are responsible for creating a first-class experience for all applicants through compassionate and intentional communication, upholding the company's branding standards, maintaining the integrity of the talent acquisition process and by providing exceptional follow through. Additionally, they will provide support to the Human Resources Department through assisting with new hire orientation and performing generalist duties as needed for special projects.
SPECIFIC RESPONSIBILITIES:
1. Coordinates recruitment activities including Talent Acquisition Specialist phone screens, hiring manager interviews, interview debriefs, offer calls, candidate travel, and other recruitment-related meetings and logistics.
2. Communicates with candidates to schedule and confirm interviews, coordinates next steps, and prepares interview materials to support a timely, organized, and positive candidate experience.
3. Supports the development and preparation of job postings, behavioral-based interview guides, offer letters, recruitment communications, LinkedIn content, and other recruitment and selection materials.
4. Supports recruitment events, career fairs, sourcing projects, candidate research, resume review, and phone screening based on recruitment priorities and team capacity.
5. Maintains accurate recruitment documentation, trackers, templates, resources, and other materials needed to support effective recruitment operations.
6. Helps keep workflows and procedures up to date.
7. Manages recruitment documentation and candidate files, including establishing and maintaining standardized document naming and filing practices; collecting interview guides and other required documentation from hiring managers; scanning and filing completed interview materials; downloading and organizing resumes, certifications, and other candidate documents from recruitment systems; maintaining reference check documentation; and ensuring complete recruitment files are organized and ready for handoff to Onboarding and Credentialing.
8. Supports recruitment projects and system implementations by coordinating deliverables, tracking ownership and deadlines, documenting decisions and action items, and following up with team members to ensure work is completed.
9. Leads coordination of the weekly Talent Acquisition team meeting, including gathering agenda items, preparing and facilitating the agenda, capturing notes and decisions, tracking action items, and following up on outstanding deliverables.
10. Owns established monthly Talent Acquisition metrics reporting and prepares recruitment data and reports for leadership, Board of Directors, and other organizational needs.
11. Provides administrative and project support to the Talent Acquisition Manager, including maintaining project plans, tracking deadlines and deliverables, conducting research, preparing materials, and following up on assigned action items.
12. Conducts initial administrative review of new and renewing contracts using established requirements and checklists and flags missing information, key terms, deadlines, or other items requiring Talent Acquisition Manager review.
13. Supports compliance-related projects and administrative requirements assigned to Talent Acquisition, including tracking documentation, deadlines, access requirements, applications, audits, and implementation of process or system changes.
14. Identifies opportunities to streamline recruitment processes, improve team organization and follow-through, and reduce administrative workload for Talent Acquisition Specialists.
15. Understands and promotes the mission, vision, and values of the company both in the workplace and in the community.
16. This role is required to occasionally participate in sanctioned community health events such as health fairs.
17. Performs full cycle recruitment activities as time permits.
18. Serves as a back up to the Onboarding & Credentialing Specialist for assigned duties.
19. Maintain compliance with all state and federal laws and regulations, as they pertain to position including HIPAA, Scope of Practice, Sexual Harassment, Accreditation Standards, OSHA and the Agency’s Policies & Procedures.
20. Performs other duties as assigned.
QUALIFICATIONS/EXPERIENCE:
1. Associate degree in Human Resources, Business Administration, Communications, or related field preferred; equivalent combination of education and relevant experience may be considered.
2. Minimum of two years of recruitment-related experience required, including experience supporting recruitment processes, candidate coordination, or recruitment operations.
3. Experience using applicant tracking systems and maintaining accurate recruitment documentation and candidate records.
4. Strong organizational and project coordination skills with demonstrated ability to manage multiple priorities, deadlines, and follow-up items in a fast-paced environment.
5. Excellent attention to detail with the ability to establish and maintain organized processes, records, and documentation.
6. Excellent written and verbal communication skills with the ability to communicate professionally with candidates, hiring managers, leaders, and external partners.
7. Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams, with the ability to quickly learn and effectively use new technology and systems.
8. Ability to work independently, anticipate needs, take ownership of assigned work, and appropriately escalate items requiring additional review or decision-making.
9. Ability to maintain a high level of confidentiality and exercise sound judgment when handling sensitive candidate, employee, and organizational information.
10. Demonstrated commitment to providing a positive, responsive, and person-centered candidate and customer experience.
PREFERRED QUALIFICATIONS/EXPERIENCE:
11. Healthcare recruitment experience highly desired.
