Office Manager & Facilities Coordinator
Location: Fremont, CA (On-Site) 25-30 hours

What You'll Do
Office Operations
- Manage the day-to-day operations of the Fremont office.
- Ensure office spaces, conference rooms, kitchens, and common areas are organized, fully stocked, and operating efficiently.
- Order and manage office supplies, equipment, and workplace resources.
- Maintain office phone and voicemail systems.
- Welcome visitors and provide exceptional customer service to employees and guests.
Facilities Management
- Serve as the primary liaison with building management, landlords, and service providers.
- Coordinate facility maintenance, repairs, inspections, and improvement projects.
- Manage vendor relationships and service contracts, including HVAC, electrical, plumbing, janitorial, landscaping, elevator, fire alarm, and security systems.
- Conduct routine facility inspections and respond to urgent maintenance requests.
- Monitor building systems and help maintain a comfortable work environment.
Environmental Health & Safety (EH&S)
- Support compliance with OSHA, environmental, fire safety, and local regulatory requirements.
- Coordinate inspections, drills, permits, licenses, and required reporting activities.
- Manage hazardous waste accumulation areas and vendor relationships.
- Maintain facility records and compliance documentation.
- Partner with HR to support workplace safety training and emergency preparedness programs.
Employee Support & Events
- Assist HR with new hire onboarding logistics, including workspace setup, badges, photos, and facility orientation.
- Plan and coordinate employee events, celebrations, meetings, and special activities.
- Respond promptly to employee facility-related requests and workplace support needs.
Qualifications
- 5+ years of experience in office management, facilities coordination, workplace operations, or a related role.
- Experience managing vendors, budgets, maintenance schedules, and office services.
- Strong organizational skills with the ability to manage multiple projects and priorities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office 365.
- Strong problem-solving abilities and attention to detail.
- Experience supporting manufacturing, semiconductor, or technology environments is highly preferred.
- Knowledge of OSHA, EH&S, facility compliance, or hazardous waste programs is a plus.
