Job Description
Job Description
Defiant Law is a growing California consumer law firm focused heavily on representing homeowners in disputes involving residential solar systems, home-improvement contractors, lenders, financing companies, and related consumer-protection issues.
Our matters frequently involve contract disputes, fraud and misrepresentation, contractor licensing issues, solar production and performance disputes, financing agreements, warranty claims, property damage, arbitration, and pre-litigation settlement negotiations.
We are looking for an experienced Paralegal / Legal Case Manager who can take ownership of a substantial caseload and help move matters from investigation through resolution.
This is not a position for someone who simply waits for assignments. We are looking for someone who is organized, proactive, comfortable communicating with clients and opposing parties, and capable of identifying what needs to happen next on a matter.
What You Will Do
You will work directly with attorneys, paralegals, legal assistants, clients, opposing counsel, contractors, lenders, arbitration providers, and other parties involved in our cases.
Responsibilities include:
Manage and monitor an assigned portfolio of active client matters.
Review contracts, financing agreements, solar agreements, correspondence, photographs, utility bills, production records, permits, inspection records, and other case documents.
Prepare detailed case summaries, timelines, and factual analyses.
Assist attorneys with legal opinions, findings and recommendations, demand letters, settlement communications, and arbitration preparation.
Identify missing evidence and coordinate collection of documents from clients and third parties.
Track deadlines, follow-ups, promises, settlement discussions, and outstanding responses.
Communicate regularly with clients regarding the status of their matters.
Communicate professionally with opposing counsel, businesses, financial institutions, contractors, and other third parties.
Follow up aggressively and consistently when responses or documents are outstanding.
Review incoming correspondence and identify matters requiring attorney attention.
Assist with settlement negotiations and settlement documentation under attorney supervision.
Maintain accurate and detailed matter notes and task records.
Prepare matters for attorney review so that the attorney can quickly understand the facts, outstanding issues, and recommended next steps.
Coordinate with other members of the legal team to ensure matters do not become stagnant.
Identify approaching deadlines, potential statute-of-limitations concerns, and other risks and promptly escalate them.
Assist with arbitration and litigation support as needed.
Help improve internal processes, templates, workflows, and case-management systems.
What We Are Looking For
The ideal candidate has strong judgment, excellent written communication skills, and the ability to manage a large number of matters without losing track of details.
You should be someone who:
Takes ownership of assigned matters.
Does not need to be reminded repeatedly about follow-ups.
Is comfortable working independently while knowing when an attorney needs to become involved.
Can review a complicated file and determine what information is missing.
Keeps excellent notes and documentation.
Communicates clearly and professionally with clients.
Is comfortable dealing with difficult or frustrated clients.
Can prioritize urgent matters without neglecting routine ones.
Understands that deadlines and client commitments must be tracked carefully.
Is comfortable learning new areas of law and unfamiliar contracts.
Can work in a fast-paced law firm where priorities occasionally change.
Is comfortable using technology, AI-assisted legal tools, case-management software, and Microsoft Office applications.
Required Qualifications
Paralegal or substantial legal case-management experience.
Strong written and verbal communication skills.
Excellent organizational and follow-up skills.
Ability to manage multiple active matters simultaneously.
Strong attention to detail.
Ability to review and summarize substantial amounts of documentation.
Professional client-service skills.
Experience working with attorneys and legal deadlines.
Ability to exercise independent judgment while working within attorney supervision.
Preferred Qualifications
The following are strongly preferred but not necessarily required:
California paralegal experience.
Consumer law experience.
Civil litigation or arbitration experience.
Experience preparing demand letters or settlement packages.
Experience handling high-volume plaintiff-side or consumer matters.
Experience with contract disputes, fraud, construction disputes, solar matters, lending/finance disputes, or consumer-protection claims.
Experience with Smokeball or similar legal case-management software.
Familiarity with Microsoft Teams, Outlook, Notion, and Adobe Acrobat.
panish fluency is highly desirable.
What Success Looks Like
Within the first several months, the successful candidate should be able to independently manage an assigned portfolio of matters, know the status and next step of each case, identify problems before they become emergencies, keep clients informed, and present attorneys with organized matters that are ready for decision or action.
We value people who do not simply report problems—they investigate them, organize the information, identify potential solutions, and bring the attorney a clear recommendation.
About Our Work Environment

We believe clients should know that their case is moving forward. That means our team must communicate, document, follow up, and take ownership.
