Job Summary:
Chrisp Company is seeking an organized and detail-oriented Operations Assistant to support our construction and roadway projects. This role includes coordinating schedules, tracking project progress, managing materials, and assisting with project documentation.
Hours:
Monday - Friday
7:00 am - 4:00 pm (Flexible)
Occasional overtime as necessary
Key Responsibilities:
Pre-Construction Duties:
- Ensure all superintendent assignments are included in the project schedule.
- Handle change orders, material and sign lists, code recording, encroachment permits, and submittals.
- Compare project production with contract requirements and provide additional work quantities to the estimating team.
- Confirm superintendent approval of completed workplans.
- Identify potential penalties and alert superintendents and schedulers of any contract specifications.
- Contact general contractors to obtain contract details and project schedules.
- Prepare takeoffs and jobsite maps, and submit daily logs as required.
- Obtain and develop traffic control plans.
- Maintain a database of hotels and truck parking locations for project logistics.
- Ensure project plans are logical and feasible, and identify any special items or specifications early.
- Participate in pre-construction and union meetings.
Project Installation Duties (Projects In Progress):
- Ensure the yard has the final material list for truck loading.
- Set up material storage and handling for larger projects near the site.
- Notify scheduling of any changes to the estimated project duration.
- Communicate daily with Foremen or Superintendents to track project progress and inform the scheduler.
- Submit extra work requests or quotes to the Estimating Department.
- Prepare and submit change orders to the Contract Administrator.
- Attend weekly meetings for private projects (schools, complexes, etc.) as needed.
- Review timecards and material use sheets for accuracy, including subcontractor data, and flag any issues.
- Submit quantities to the General Contractors Project Manager and secure approval before billing.
- Visit job sites as necessary.
Post-Job Duties:
- For jobs over $5,000 or exceeding mark-up %, work with Superintendents to determine reasons for being over budget.
- Assist the Accounts Receivable Department to resolve collection issues.
- Perform other duties as assigned.
Knowledge, Skills, and Experience
- High school diploma or equivalent required; college coursework or degree is preferred.
- Proficiency in Microsoft Office applications including Word, Excel, and Outlook; experience with Smartsheet is beneficial.
- Strong written and verbal communication abilities.
- Patient and professional when communicating with team members and external partners.
- Highly detail-oriented with the ability to identify discrepancies or issues.
- Ability to manage multiple tasks and prioritize responsibilities.
- Effective time management and organizational skills.
- Willingness to learn new processes and develop operational knowledge.
- Self-motivated with a strong sense of accountability and work ethic.
