Executive Assistant to CEO/Co-Founder
Campbell, CA | $150,000–$160,000 Base + Equity + Bonus
Our client, a high-growth company in the South Bay, is seeking an exceptional Executive Assistant to serve as a trusted right hand to the CEO/Co-Founder. This is a high-impact opportunity for a seasoned, career-minded EA who excels in a fast-paced, high-intensity environment and takes pride in providing seamless, anticipatory support at the highest level.
The ideal candidate is exceptionally organized, disciplined, discreet, and proactive, with the ability to stay several steps ahead of the executive while managing a demanding schedule and constantly evolving priorities. This role requires a high degree of flexibility, responsiveness, and attention to detail, along with a willingness to support both professional and personal administrative needs. The right individual will thrive on structure, take ownership without needing constant direction, and be motivated to build a long-term partnership with a highly driven executive.
What You’ll Do
- Provide dedicated, high-level administrative support to the CEO/Co-Founder, serving as a reliable partner in managing daily priorities, commitments, and logistics.
- Own complex calendar management, including scheduling, meeting coordination, prioritization, and proactively resolving conflicts in a fast-moving environment.
- Coordinate extensive domestic and international travel, managing detailed itineraries, accommodations, transportation, travel preparation, and last-minute adjustments.
- Anticipate the executive’s needs and stay ahead of upcoming commitments, ensuring meetings, travel, and daily responsibilities are thoughtfully organized and executed.
- Serve as a responsive point of contact for internal teams, external stakeholders, vendors, and service providers, communicating with professionalism and discretion.
- Manage confidential, sensitive, and personal administrative matters with exceptional judgment and attention to detail.
- Establish and maintain efficient systems, routines, and organizational processes that support the executive’s workflow and priorities.
- Oversee follow-ups, track outstanding items, and ensure important details and commitments are handled promptly and accurately.
- Assist with personal administrative responsibilities, including appointment scheduling, light errands, and ad hoc projects as needed.
- Navigate shifting priorities, urgent requests, and unexpected changes with composure, sound judgment, and a solutions-oriented approach.
- Take ownership of administrative projects and responsibilities from initiation through completion, operating independently with minimal supervision.
- Collaborate with the broader EA team and provide additional support to the executive leadership team when needed.
What We’re Looking For
- Significant experience supporting a CEO, founder, entrepreneur, or other senior executive in a high-level Executive Assistant capacity.
- Strong foundation in traditional executive support, particularly complex calendar management, domestic and international travel, and day-to-day executive operations.
- Proven ability to thrive in a demanding, fast-paced environment where priorities shift quickly and responsiveness is essential.
- Exceptional organizational skills, attention to detail, and follow-through, with the ability to manage multiple priorities without losing sight of the small things.
- Highly proactive and anticipatory, with the ability to recognize needs, think several steps ahead, and act independently.
- Excellent judgment, discretion, and professionalism when handling confidential business matters and personal responsibilities.
- Calm, composed, and resourceful under pressure, with the ability to make sound decisions and resolve issues efficiently.
- Flexible and service-oriented, with a willingness to step in wherever needed and take ownership of a broad range of responsibilities.
- Strong communication and interpersonal skills, with the ability to interact confidently and professionally with stakeholders at all levels.
- Comfortable working within established routines and executive preferences while adapting quickly to changing circumstances.
- A high-availability mindset and willingness to accommodate extended hours, occasional weekend support, and evolving business needs.
- Genuine interest in building a long-term career as a dedicated Executive Assistant and developing a strong, trusted working relationship with the CEO/Co-Founder.
Schedule & Location
- Full-time, fully onsite in Campbell, CA.
- Regular overtime is required, including extended hours and occasional weekend support.
- Ability to travel with the executive as needed.
Compensation & Benefits
- $150,000–$160,000 base salary, depending on experience.
